Why this role exists The CEO and President's attention is the most constrained resource in the company. Every week it gets split across recruiting, client success, marketing, finance, and a constant stream of decisions only they can make. Too much of that time goes to holding threads together instead of building the next stage of the business.
This role exists to multiply executive capacity. You absorb the work that does not require the CEO or President, sharpen the decisions that do, and make sure everything they decide actually happens.
This is not an executive assistant role. It is not a project coordinator role. You operate at the leadership level with the CEO's authority behind you, and you will be one of the closest people to the CEO and President in the entire company. Very little of what happens at RemoteLegalStaff will happen without your fingerprints on it.
What You Will Own
Executive Operations
- Run the CEO and President's operating cadence: leadership meeting rhythm, agendas, quarterly priorities, and decision tracking.
- Convert every leadership decision into an owner, a deadline, and a closed loop. Nothing decided dies in a meeting or a Slack thread.
- Control what reaches the CEO and President. Filter noise, package what matters, and resolve what does not require them.
- Prepare the CEO for high-stakes moments: leadership meetings,
difficult conversations, client escalations, key negotiations.
Special Projects
- Take ambiguous, cross-functional problems from vague idea to shipped result, then hand them to a permanent owner and move to the next one.
- The kind of work you will inherit: rolling out a new system company-wide, diagnosing why a metric is slipping and fixing the root cause, building a framework leadership will use for years, researching and framing a new market or initiative.
- Own the projects that sit between departments, the ones that stall precisely because nobody owns them today.
Analysis & Decision Support
- Build the analysis before it is asked for. Models, decision memos, options with a clear recommendation.
- Pressure-test the numbers, claims, and plans that department heads bring to leadership. Nothing reaches the CEO unexamined.
- Monitor company KPIs across departments, spot what is drifting early, and bring it to leadership with a proposed response, not just a flag.
Communication & Representation
- Draft the communications the CEO and President put their names on: company-wide announcements, leadership documents, sensitive messages.
- Sit in meetings on the CEO's behalf, ask the questions he would ask, spot the problems he would spot, and report back with judgment, not transcription.
- Act as the connective tissue between the executive level and department heads so context flows both ways without distortion.
You will not manage a department. The Director of Operations owns operational execution and people management. Department heads own their functions. You are the leverage layer that works across all of it, directly for the CEO and President.
Who This Role Is For
You are very smart, and it shows fast. You process complex, ambiguous situations quickly and get to the real issue while others are still summarizing.
You are business-fluent.
You understand P&Ls;, unit economics, retention, and how a services business makes money. You look at a dashboard and know which number matters.
You write exceptionally well. Clear, direct, structured. Most of your influence travels through documents and Slack, and your writing makes people move.
You are low ego with high standards. You do unglamorous work one hour and challenge the CEO's thinking the next. You say the uncomfortable true thing, including to him.
You are relentless on follow-through. Nothing you touch falls through the cracks. Ever.
This Role Is Not For Someone Who
- Needs a defined lane and a fixed to function.
- Wants to manage a team as the measure of seniority.
- Waits to be asked, or gathers context indefinitely instead of acting.
- Softens messages until they stop meaning anything.
- Treats "I sent the email" as follow-through.
- Wants strategy without the grit of execution.
Qualifications
Required
- 5 years in operations leadership, management consulting, or a Chief of Staff / right-hand role at a growing company.
- Track record of owning cross-functional projects to completion and holding senior people accountable without formal authority over them.
- Direct people-management experience. You have led a team before, so you know how execution actually works from the manager's seat.
- Demonstrated analytical depth: you have built models, written decision memos, or produced analysis that executives relied on to make real decisions.
- Exceptional written and spoken English. You will be tested on both.
- Strong command of spreadsheets, data, and business metrics.
- Strong technology and AI fluency. You use automation and AI as leverage by default, not when told to.
- Bachelor's degree in business, economics, engineering, or a comparable analytical field.
Preferred
- Experience in staffing, recruiting, BPO, legal services, or professional services.
- Experience in a fully remote, fast-scaling services company.
- MBA or equivalent advanced business training.
- EOS/Traction experience.
- Experience supporting a founder or CEO toward exit readiness or acquisition.
