Fully remote Salary $3,000 to $4,000 depending on experience We're a fast-growing performance marketing agency, and we've outgrown the way we run. We run a lot through the founder. Decisions, priorities, and the operating rhythm all route back to the top. That worked for 30 people. It will not work at 100. We're hiring the person who owns the operating model and gets the company off founder-led ops. This is not a project management role . It's the person who builds the structure that lets a 30-person agency become a 100-person one without losing speed. You'll work across Paid Search, Paid Social, Creative, Client Services, and internal ops. You'll manage an Operations Coordinator. You'll set an operational strategy with leadership instead of waiting to be handed it. The core charge Reduce founder dependency. Build the systems, the accountability, and the operating cadence that let us scale output without scaling chaos. Decide what gets standardized and what stays loose. Make the call, then build it. What you'll own Operational leadership and scale Design and build the operating structure to scale the agency Own org clarity, accountability, and cross-functional coordination Find the bottlenecks, communication gaps, and recurring failures, then fix them at the root Get the founder out of the day-to-day decision loops Drive operational strategy and org design alongside leadership Process and systems Audit and rebuild workflows across Paid Media, Creative, Client Services, and internal ops Build the SOPs, documentation,
and accountability systems that hold under growth Make Click Up the single source of truth for ownership, priorities, and timelines Standardize where it earns its keep. Leave it loose where process would slow the team. Cut manual work and operational friction across the company Build onboarding, training, and knowledge systems that scale with headcount AI, automation, and infrastructure Put AI and automation into the real workflows: reporting, documentation, onboarding, task management, communication Research, test, and ship emerging tools, then drive adoption across teams Build systems that grow output faster than headcount Build the dashboards and reporting that give leadership real visibility into execution and priorities Develop the Operations Coordinator into a multiplier who runs real workstreams What you'll have done By month 3 You know what's actually broken (or breaking), backed by evidence Every team uses Click Up the same way By month 6 The founder is out of the recurring decision loops that bottleneck the company today Reporting and visibility run on their own, with no one chasing them At least 2 AI or automation systems are live and adopted across teams,
not stuck in pilot By month 12 We run at roughly 2x the headcount without 2x the chaos New hires onboard against real documentation instead of tribal knowledge The Operations Coordinator owns real workstreams and improves follow-through across the org What we need 5+ years in operations, business ops, systems, or process work You personally owned the operational build through a 20-40 to 70-100+ scale. You can name the systems and structural calls that were yours, what broke, and what you'd do differently. You can explain what works, why it works, and when the process hurts speed. We're hiring for judgment over pattern matching. Proof on AI: walk us through 2 to 3 AI or automation systems you put into production, the adoption you drove across a team, and one that failed and why You stay current on AI tooling because you want to, not because a posting told you to Fluent in Click Up, plus Asana, Notion, Airtable, Zapier, Make, or similar You've managed and grown junior operators You operate autonomously and move initiatives without oversight You change how teams work without relying on a reporting line Agency, consulting, or fast-paced service business background is a plus. We care more about how you think than where you've been.
