Job Overview:

Our client is seeking aDental Billing & Patient Coordinator fluent in Spanish and Englishto manage both front desk appointment coordination and financial collections. In this role, you will be at the center of patient relations, making outbound calls to confirm appointments, collecting outstanding payments, and ensuring patients stay on track with their treatment plans. You will work directly with insurance portals to track claim statuses and resolve billing issues, all while maintaining detailed documentation in the practice management system.

Schedule:Remote, Full Time | Monday to Friday, 9:00 AM to 6:00 PM EST, with a 1-hour unpaid lunch.

Responsibilities:

- Make outbound calls to patients to schedule and confirm orthodontic appointments.
- Contact patients with outstanding balances to request payment and arrange payment plans.
- Follow up on accounts receivable using provided call lists of patients who are behind on monthly payments.
- Call patients with next-day appointments who have developed balances since scheduling to collect payment or reschedule.
- Check claim statuses through insurance portals including Dental Exchange and Delta Dental websites.
- Contact insurance companies directly when claims are not processing to identify and resolve issues.
- Document every patient interaction in the practice management system, including contact details and outcomes.
- Provide weekly status updates on billing and collections activities.




- Have a stable practice with long-term patient relationships spanning multiple years.
- Receive structured onboarding and clear processes for all responsibilities.
- Work with an established patient base that already has relationships with the practice.

Requirements:

- Experience working in a dental or medical office environment, preferably orthodontics.
- Proven experience making outbound calls for appointment scheduling and payment collections.
- Familiarity with insurance verification and claims follow-up processes.
- Experience navigating insurance portals and checking claim statuses.
- Strong documentation skills and close attention to detail.
- Bilingual in Spanish and English with excellent communication skills in both languages.
- HIPAA certification and strong understanding of patient privacy requirements.
- Experience with dental or medical practice management software systems.
- Preferred:Experience with Ortho2 Edge practice management software.
- Preferred:Experience working specifically with Dental Exchange and Delta Dental insurance portals.
- Plus:Experience working with long-term patient relationships in orthodontics.
