If that sounds like you, The Agency Los Cabos is looking for its next Administrative Manager.The PositionThe Administrative Manager is the operational backbone of The Agency Los Cabos, responsible for translating strategic vision into structured, day-to-day execution.
This role combines senior operations management with human resources oversight, legal compliance watchdog functions, and direct departmental supervision — ensuring that every area of the business runs efficiently, in compliance with applicable federal regulations, and with a proactive focus on continuous improvement.
The Administrative Manager directly supervises the Office Manager and maintains cross-functional authority over IT activities, Marketing, Accounting, and Transaction departments.
This is a leadership position that demands a highly organized, bilingual professional with deep experience in real estate operations and a genuine commitment to governance, people management, and value-driven execution.Key Responsibilities1.
Operations & Business Management● Plan, monitor, and manage the day-to-day operations of all business areas, ensuring smooth progress and the proactive resolution of commercial and operational challenges.
● Directly supervise the Office Manager, ensuring all front-office functions are consistently executed at 100% capacity and aligned with company standards.
● Provide cross-functional oversight of IT activities; Marketing, Accounting, and Transactions teams, offering ongoing direction and constructive feedback.
● Facilitate internal team meetings to strengthen cross-departmental communication, alignment, and accountability.
● Evaluate overall business performance by gathering, analyzing, and interpreting operational data and metrics, and present findings to leadership.
● Identify operational gaps and implement data-driven improvements continuously.2.
Human Resources & People Management● In compliance with federal labor laws, develop and implement HR and Agent Experience Management strategies across the organization.
● Manage the full employee lifecycle: draft, execute, and maintain employment contracts, NDAs, addendums, and any required amendments.
● Serve as the organization's internal HR representative — first point of contact for employee relations, workplace conflict resolution, and personnel issue management.
● Maintain accurate records of employee vacation balances and serve as the first approval gate for all time-off requests from collaborators.
● Ensure all collaborators and vendors maintain current, fully executed files and contracts — including annual renewals and NDAs — in accordance with the HR compliance calendar.
● Lead agent onboarding processes, coordinate initial training programs, and provide ongoing operational troubleshooting support.
● Track and manage HubSpot membership assignments and monthly billing for all active agents.3.
Legal & Regulatory Compliance● Continuously monitor license requirements and expiration dates across all three offices in accordance with federal regulations (Ley de Operaciones Inmobiliarias), ensuring zero lapses at any time.
● Proactively flag and escalate upcoming legal deadlines, regulatory obligations, permit renewals, and any missing documentation — ensuring nothing falls through the cracks.
● Maintain and integrate KYC files in compliance with the Aviso de Actividades Vulnerables requirements under applicable federal law.
● Ensure the company operates in full legal and regulatory conformity at all times, maintaining a consistent focus on governance across all service delivery functions.4.
Process Development & Policy● Lead the design, documentation, and hands-on implementation of operational processes across all departments, turning strategic priorities into actionable workflows.
● Revise and/or formulate company policies and drive their consistent adoption and enforcement throughout the organization.
● Evaluate scenarios and collaborate with the Transactions team to develop and enforce strategies that drive goal achievement and pipeline results.5.
Financial & Administrative Control● Authorize Petty Cash disbursements and perform weekly reconciliations, including review and approval of vouchers and reimbursements.
● In coordination with the Accountant, evaluate, track, and manage all office equipment across locations.
● Support the Closing and Accounting departments with document-related tasks — filing, scanning, and organizing — as bandwidth allows.
● Coordinate the retrieval and execution of original signed contracts from all relevant parties.6.
Records, Documents & Vendor Relations● Supervise that all filing systems — digital and physical — are well-maintained, current, and easily accessible.
● Manage Commercial Files including vendor contracts, lease agreements, and public service agreements in both hard copy and digital format.
● Manage and nurture relationships and service agreements with external partners, vendors, and service providers.QualificationsEducation & Experience● Bachelor's degree in Accounting, Finance, Business Administration, MBA, or a related field.
● Minimum 3 years of experience as a Comptroller, Financial Manager, or Operations Manager.
● Minimum 2 years of experience in the real estate industry.
● Bilingual: English and Spanish (professional proficiency in both required).
