THE ROLE

The NA Education Booking Specialists is a part of the Education Operations team and is responsible for organizing and managing travel for all independent contractors (such as brand educators, artists, and support staff) across North America for events like in-salon seminars, shows, and other activities. The position oversees the entire travel process, including booking, communication, and payments, using systems like virtual credit cards and P-cards. It also handles purchase orders for educational materials and supports teams with pre-paid orders. Additionally, this role manages the model request process, serving as the main point of contact for coordinating model bookings, agreements, and payments.
KEY RESPONSIBILITIES
Virtual Credit Card & PCard Allocation in GRAM and BoA by the end of each month





Administer virtual credit cards and P-card allocations within the Bank of America system

Coordinate and process payments related to contractor travel and expenses

Maintain clear communication with internal teams, contractors, and vendors to ensure smooth operations

Manage Pivot Point Pre-Pay PO and all orders for the Frontline and Studio Education team. Collaborating with the vendor, holding monthly meetings to review the mannequin inventory and address any issues, looping in AP and Finance

SPOC and Manage the Model Booking Process for Paid, Volunteer and Independent Models; Own all updates and changes needed in the MCR system in WellaBooking partnering with the development vendor

Ensure accurate setup, tracking, and payment processing for all model engagements

NAVAN Travel SPOC; Partnering with Global Procurement and the NAVAN Customer Service Team on process updates, changes and help needed; Booking Non-Employee Travel for multiple channel teams across the company

Manage travel bookings and logistics for independent contractors across North America for education events and programs

Oversee the end-to-end travel process, including coordination, communication, and payment management

Maintain clear communication with internal teams, contractors, and vendors to ensure smooth operations

Support the Back Office Team with Intertrade Invoices

QUALIFICATIONS

Essential:




Self-starter and ability to work independently with clear focus on deliverables

Excellent Administrative and Organizational Skills

Excellent oral and written communication skills

Results oriented. Strong analytical ability, attention to detail, and organizational/time management skills

Excellence in the following systems: SAP, MS Word, MS Excel and PowerPoint

Strong and thorough knowledge of P&Ls;, POs, Project Work

Ability to work with all levels of the organization
