About us

Your Startup Operations (YSO) is a boutique operations and staffing partner supporting small businesses across the United States. We help our clients build reliable teams and streamline their operations through high-quality talent, personalized support, and flexible solutions.

We value ownership, resourcefulness, curiosity, excellence, and a solution-oriented approach.

Position Overview

We are looking for an organized, proactive, and detail-oriented Event Operations Coordinator to support the planning, coordination, and operational management of events for one of our clients.

The ideal candidate has hands-on experience coordinating events, managing vendors and logistics, handling administrative tasks, and keeping multiple projects on track. You should be comfortable communicating with clients, suppliers, production teams, and other stakeholders while ensuring deadlines and event requirements are met.

This is a 100% remote position. Events may take place at physical venues, but all planning, coordination, and execution oversight will be managed remotely. You will work closely with local vendors and on-site personnel to ensure each event runs smoothly. Physical attendance at event venues is not required.

Key Responsibilities

Event Planning and Coordination

- Coordinate event logistics from initial planning through execution and post-event follow-up.
- Manage event timelines, schedules, checklists, project plans, and run-of-show documents.
- Coordinate venue arrangements, catering, registration, travel and lodging arrangements, shipping, and other event requirements.
- Communicate with vendors, venues, production teams, and on-site personnel to confirm arrangements and deliverables.
- Monitor event progress remotely and help ensure all operational details are handled on time.

Vendor and Supplier Management

- Identify, contact, and coordinate venues, catering providers, event production companies, audiovisual providers, and other suppliers.
- Request and compare quotes, coordinate contracts, and follow up on agreed deliverables.
- Track orders, shipping, promotional materials, equipment, and other event-related resources.
- Address logistical issues and coordinate solutions with the appropriate stakeholders.

Administrative and Operational Support

- Manage event-related documentation, contracts, purchase orders, invoices, payments, and expense records.
- Maintain budgets, track expenses, and assist with budget reconciliation and reporting.
- Keep project information, records, and shared documents accurate and organized.
- Provide timely updates to clients and internal stakeholders.
- Use CRM systems, project management tools, and event platforms to manage information and track progress.

Project Management and Communication

- Coordinate multiple events, projects, and deadlines simultaneously.
- Track milestones, schedules, responsibilities, and deliverables.
- Maintain clear and consistent communication with clients, vendors, and internal teams.
- Anticipate potential challenges, follow up proactively, and take ownership of outstanding tasks.
- Identify opportunities to improve workflows and operational processes.

Remote Event Execution and Post-Event Follow-Up

- Coordinate event-day activities remotely with vendors, production teams, and on-site personnel.
- Monitor schedules, setup, event execution, and breakdown through local teams.
- Help resolve last-minute changes and logistical challenges.

- Collect event documentation, feedback, attendance information, and relevant data.
- Prepare post-event summaries and reports, documenting outcomes and areas for improvement.

Required Qualifications

- 2–4 years of experience in event coordination, event operations, event planning, project coordination, or a related administrative or operations role.
- Hands-on experience coordinating event logistics and communicating with vendors or suppliers.
- Experience managing schedules, documentation, administrative processes, and multiple deadlines.
- Strong written and verbal English communication skills.
- Experience working remotely and communicating with distributed teams.
- Proficiency with CRM systems, project management platforms, and other digital tools.
- Strong organizational skills and attention to detail.
- Ability to work independently, prioritize tasks, and follow through without constant supervision.
- A proactive, resourceful, and solution-oriented approach to problem-solving.

Ideal Candidate Profile

The idóneo candidate is someone who:

- Has a positive attitude and genuinely enjoys coordinating events and managing operations.
- Communicates clearly and professionally in English.
- Is responsive, reliable, and consistent with follow-ups.
