The CoBrand Coordinator is a tactical, execution-focused professional responsible for managing the day-to-day workflow of CoBrand projects from intake through production and delivery. This role ensures workflow visibility, data accuracy, asset readiness, and seamless coordination among Sales, Design, Production, Inventory, and external brand partners.

Key Responsibilities

- Project Intake & Order Entry:
- Set up new CoBrand projects in project management tools (HIVE) following established SOPs.
- Accurately enter sample orders, stock holds, customer purchase orders (POs), and hold POs into SAP.
- Verify that all required partner documentation, artwork, and approvals are complete at project kickoff.
- Workflow Tracking & Operations Execution:
- Monitor daily project progress across all stages: intake → design → approvals → production → delivery.
- Maintain up-to-date project statuses in HIVE and communicate timeline shifts, order changes, or cancellations promptly.
- Partner with Production Control, Inventory, and Logistics to validate production readiness, shipments, and warehouse transfers.
- Partner Communication & Sales Support:
- Act as the daily operational point of contact for sales reps and brand partners regarding project status, proofs, sample availability, and ETAs.
- Clarify timeline feasibility, technical requirements, and partner-specific needs.
- Samples, Line Sheets & Digital Assets:
- Coordinate sample requests, feedback, and approvals with Product, Design, and Sales.

- Prepare and organize product samples for marketing needs, photoshoots, and partner presentations.
- Build linesheets and manage digital catalog assets in NuOrder; assist with monthly SMU sock launches and sell-thru tracking.
- Cross-Functional Alignment & KPIs:
- Facilitate daily communication across Sales, Product, Design, Production, and Logistics to resolve bottlenecks.
- Escalate delays, material shortages, or partner concerns directly to the CoBrand Manager.

Gather operational metrics (cycle time, production readiness, and on-time delivery rates) for business reviews.

Minimum Requirements

- Experience: 2 to 4 years of experience in Sales Operations, Merchandising Operations, Production Coordination, or related operational fields.
- Education: Bachelor’s degree preferred, or equivalent practical experience.
- Technical Skills:
- Practical experience with ERP systems (SAP preferred) and project management/workflow software (HIVE preferred).
- Familiarity with B2B/e-commerce platforms (NuOrder, Shopify) is an advantage.
- Strong proficiency in Microsoft Excel and Outlook.
