Track treatment progress, gaps in care and discharge dates
Coordinate with medical providers, including LOPs where needed
Manage client expectations and keep them engaged and informed Medical Records & Bills Request, track and follow up on medical records and itemized bills from all providers
Review records for completeness, injuries, causation and treatment timeline
Confirm billing accuracy (HCFA-1500, UB-04, CPT/ICD-10 codes)
Request narratives, causation letters, and records and billing affidavits Demand Preparation Draft complete, persuasive demand packages: liability, injuries, treatment summary, medical specials, lost wages and pain and suffering
Calculate damages and prepare supporting exhibits

Meet time-limited demand deadlines and statutory requirements Negotiation & Settlement Negotiate with insurance adjusters within the authority set by the attorney
Evaluate offers, prepare counteroffers and document all negotiations
Advise attorneys on case value and when to settle or refer to litigation Liens & Reductions Identify and resolve all liens: Medicare, Medicaid, ERISA, health insurance subrogation, hospital, provider and pre-settlement funding liens
Request final lien amounts and negotiate reductions to maximize client recovery
Track lien resolution through to final release Closing & Disbursement Prepare settlement statements and coordinate client approval
Make sure all releases, liens and bills are resolved before disbursement
Close files cleanly, or prepare the case for a smooth handoff to litigation What You Bring 5+ years of personal injury case management experience, ideally plaintiff-side pre-litigation
Proven experience handling cases from intake to disbursement on your own
Strong demand-writing skills, with samples available on request
Hands-on experience negotiating with adjusters and reducing liens
Solid knowledge of medical terminology, records, billing forms and coding
Experience with Medicare, Medicaid and ERISA lien resolution
Ability to manage a large caseload ([number] cases) with strong organization and follow-up
Experience with case management software (Filevine, Case Peer, Litify, Smart Advocate, Clio or similar)
Excellent written and verbal communication, and real empathy for injured clients Nice to Have Bilingual English/Spanish
Litigation support experience (discovery, trial prep)
