Position: Pre-Litigation Case Manager

Position Overview

We are seeking a highly organized, detail-oriented Pre-Litigation Case Manager to support a personal injury law firm. This individual will be responsible for managing personal injury cases from initial client onboarding through the pre-litigation process, ensuring cases move forward efficiently and clients receive consistent communication.

The idóneo candidate will have experience supporting U.S.-based personal injury law firms, a strong understanding of the personal injury claims process, and the ability to manage multiple cases while coordinating with clients, medical providers, insurance adjusters, and attorneys.

This position will focus primarily on pre-litigation case management, with occasional support on litigation-related tasks as needed.

Key Responsibilities

Pre-Litigation Case Management

- Manage personal injury cases from initial client intake through settlement or transition into litigation.
- Maintain accurate and organized case files, ensuring all documentation and case updates are properly recorded.
- Monitor case progress and proactively follow up on outstanding tasks to prevent delays.
- Coordinate with attorneys and other legal staff to ensure cases are progressing toward resolution.
- Track important case milestones, deadlines, and outstanding documentation.

Client Communication & Medical Coordination

- Serve as a primary point of contact for clients throughout the pre-litigation process.
- Conduct client onboarding calls and provide regular case updates.
- Coordinate medical treatment, appointments, and follow-ups with healthcare providers.
- Monitor client treatment progress and ensure medical documentation is updated.
- Address client questions and concerns while maintaining a high level of professionalism and responsiveness.
- Ensure clients are informed of the next steps in their cases.

Insurance Claims & Documentation





- Assist with opening and managing claims with first-party and third-party insurance carriers.
- Communicate with insurance adjusters to obtain claim updates and necessary information.
- Track liability determinations, insurance coverage information, and policy limits under attorney supervision.
- Request, track, and organize medical records, medical bills, accident reports, and other case-related documentation.
- Follow up with insurance companies, providers, and other parties to obtain outstanding information.
- Maintain accurate claim records and correspondence within the firm's case management system.

Settlement Preparation & Case Progression

- Assist attorneys and legal staff in preparing cases for settlement negotiations.
- Organize medical records, bills, treatment summaries, and supporting documents for demand packages.
- Track demand submissions, insurance responses, and settlement-related deadlines.
- Coordinate communication between attorneys, clients, and adjusters regarding settlement updates.
- Ensure all necessary case documentation is completed before settlement or transfer into litigation.

Litigation Support (As Needed)

- Assist with organizing case files and documentation when a case transitions into litigation.
- Support attorneys and litigation staff with gathering records, preparing case summaries, and tracking outstanding documentation.
- Ensure a smooth transition of case information from pre-litigation to litigation teams.

Required Qualifications

- Minimum of 2–3 years of experience supporting U.S.-based personal injury law firms, specifically in pre-litigation case management.




- Strong understanding of the personal injury claims process, including medical treatment coordination, insurance claims, liability, and settlements.
- Experience communicating with clients, medical providers, and U.S.-based insurance adjusters.
- Familiarity with medical records, medical billing, and insurance documentation.
- Experience using legal case management software such as Filevine, SmartAdvocate, Clio, or similar platforms.
- Excellent written and verbal English communication skills.
- Strong organizational skills and ability to manage a high-volume caseload.
- Exceptional attention to detail and ability to meet deadlines.
- Ability to work independently, prioritize responsibilities, and proactively follow up on outstanding tasks.
- Strong client service skills with the ability to handle sensitive situations professionally.

Preferred Qualifications

- Experience managing personal injury cases from intake through settlement.
- Familiarity with demand package preparation and settlement processes.
- Experience coordinating medical treatment and communicating with insurance adjusters.
- Knowledge of personal injury terminology, insurance coverage, and claims procedures.
- Experience supporting litigation teams when cases transition out of pre-litigation.

Job Types: Full-time, Part-time

Pay: $10,837.65 - $21,714.82 per month
