Role Description You own the close. Each client with its own close calendar, chart of accounts and quirks, closing every month on your schedule and under your name. Today that work sits with an outsourced firm in the Philippines billing us hourly; you are the person we are bringing it in-house to.

This is not a data-entry seat. Our clients are marketing and staffing agencies with real accounting complexity: multi-month retainers that need deferred revenue, recruiter commissions that accrue against placements, a Canadian client on CAD books with USD bank accounts and unrealized FX, HST filings, prepaid amortization, goodwill amortization, vacation-pay liabilities, related-party balances and invoices flowing in from HubSpot and Stripe that have to tie back to QuickBooks every month.

When a transaction needs a judgment call on revenue recognition or classification, you make it and explain why. When the CFO proposes an entry that is wrong, you say so. If you need someone above you to check your work, this is not the right role. We are not tax preparers, but we work closely with our client's tax CPAs to clear and book entries correctly.

Qualifications

- Five or more years of full-charge bookkeeping for US-based companies, owning the close.



Years spent in software support, AP-only or AR-only roles, or as part of a team where someone else closed the books do not count toward this.
- US GAAP accrual accounting, fluently. You can define accrual versus cash basis without hesitating, and you know which one every entry you post belongs to.
- Revenue recognition over a service period. You can build and maintain a deferred revenue schedule and explain the monthly entry that releases it.
- Cost of sales versus operating expense. You know why it matters to an agency's gross margin and you classify direct costs, including recruiter and sales commissions, accordingly.
- Accrued liabilities. Commission payables, payroll accruals, vacation pay: you accrue the expense when it is earned, not when it is paid.
- Month-end close ownership for multiple entities at once, with a documented checklist and reconciliations to support every material balance.
- QuickBooks Online, at depth. Classes, locations, custom reports, recurring transactions, bank rules, journal entries, closing the books with a close date and password, and finding your way out of someone else's mess.
- Advanced Excel or Google Sheets. Pivot tables, lookups, and building a reconciliation between two systems from scratch.
- Business-level written and spoken English. You will be on calls with US and Canadian clients and writing to them without review.
- Overlap with US Eastern time

- CPA, CPA candidate, or a local equivalent such as a Philippine CPA or a Contador Público
- Agency experience: marketing, advertising, creative, staffing or recruiting clients
- Canadian bookkeeping exposure: HST and GST filings, CAD books with USD accounts, FX revaluation
- Multi-currency accounting and unrealized versus realized gain and loss
- HubSpot, Stripe, Ignition, Bill.com, Ramp, Gusto, Rippling or Deel
- Xero, in addition to QuickBooks Online
- Experience taking work over from an outsourced provider
- Comfort with AI tools as a drafting aid you then verify. We use them; we do not post anything we have not checked
