AI Operations & Automation Manager

About the role

You will be the person who turns “we should fix this” into a working system. You take an idea or

problem, research it, scope it, identify the data and dependencies, decide what can be built with AI and automation versus what needs engineering, and then drive it through implementation, testing and adoption.

You build a lot yourself: agents, workflows, automations, knowledge systems and lightweight

integrations. When something needs production engineering, you write a clear spec for Sean and stay accountable for the outcome. Marketing analytics is one workstream, but the role spans the whole organization.

Health Loft, based in Chicago, Illinois, provides medical nutritional counseling from expert registered dietitians (RDs) to individuals across all 50 states. We make it easy for patients to see an RD by accepting their health insurance and offering convenient access to licensed professionals via our telehealth platform.

What you will do

- Own the intake-to-delivery pipeline for operational improvements. Maintain a prioritized backlog of AI and automation projects, with clear scope, owners, dependencies and success measures.
- Research and scope problems. Interview stakeholders, map workflows, identify the data each project needs and where it lives, and define what “done” looks like.
- Make the build-vs-engineer call. Decide what can be delivered with Claude/ChatGPT, GHL workflows or similar, and what needs engineering.
- Build directly. Create AI agents, prompt workflows, automations, webhooks, API connections, dashboards and knowledge bases.
- Write engineering specs. Produce tickets with requirements, definitions, edge cases, acceptance criteria and test plans engineering can build from without back-and-forth.
- Own marketing analytics infrastructure. Matomo setup, event and dimension design, spend ingestion, funnel change tracking, and the data model that connects spend to bookings and occurred appointments.
- Make company knowledge AI-ready. Organize policies, approved patient information and operational changes so agents can reliably use current information.
- Test, launch and drive adoption. Run QA, train the teams who use what you build, document it, and measure whether it worked.
- Coordinate across teams. Keep Intake, Admin, Clinical, Billing and Marketing aligned on priorities, timelines and changes.

Required Skills:

- 4+ years in operations, RevOps,



marketing ops, business systems, analytics or technical project management, with a track record of shipping systems end to end.
- Very strong, hands-on AI skills: you have built agents, multi-step prompt workflows, custom GPTs/Claude Projects, or LLM-powered automations that people use daily.
- Comfort with no-code/low-code automation (Zapier, Make, n8n or GHL workflows) and with webhooks and REST APIs.
- Working SQL and a solid grasp of data structure: tables, keys, joins, event data, and how to model messy operational data.
- Experience with CRMs and marketing analytics (GoHighLevel strongly preferred; Matomo or GA4, ad platform reporting).
- Ability to write a clear spec and to tell when something needs a real engineer.
- Strong project management: you break ambiguous goals into plans and drive them across teams without formal authority.
- Clear written English and good judgment with sensitive data.

Preferred Skills:

- Healthcare, behavioral health or telehealth operations experience; HIPAA familiarity.
- Experience with Metabase, Candid (or other RCM/billing tools), Rippling, Zocdoc or EHR/practice-management systems.
- Light scripting in Python or JavaScript.
- Experience with conversational AI for patient or customer support.

Claude and ChatGPT, GoHighLevel, Matomo, Metabase, Google Workspace (Sheets, Docs, Gemini meeting notes), Candid, Rippling, Zocdoc, ad platforms (Google, Microsoft, Meta), and our internal database.

Pay: 30k-60K/ year
