GH Logistics is a growing freight brokerage and asset-based logistics company specializing in dry van and reefer freight. Our strength comes from reliable transportation partnerships, disciplined execution, clean communication, and strong operational control across our network.
As our trailer operation continues to expand, we are looking for a Trailer Operations Specialist to support the recurring, high-volume work behind our Trailer Management Team. This role is responsible for keeping trailer records complete, following up on off-network equipment, documenting repairs, compiling chargeback files, reconciling vendor invoices, and ensuring open exceptions are followed through to resolution.
This is a hands-on operations role focused on execution, accuracy, and follow-through. You will not be responsible for making financial decisions, defining operational policy, or performing physical trailer repairs. Your job is to make sure the underlying work and documentation are completed correctly so the appropriate team members can make decisions using reliable information.
Role Overview
The Trailer Operations Specialist supports day-to-day trailer tracking, retrieval, repair documentation, invoice reconciliation, chargeback preparation, and exception management.
You will work closely with carriers and internal teams to maintain accurate trailer records, chase unresolved trailer issues, organize repair information, and close operational gaps that can otherwise lead to lost equipment, unnecessary repair costs, towing or impound expenses, and incomplete carrier billing.
The defining trait for this position is high-volume follow-through. We are looking for someone who does not simply identify an issue and leave it flagged. You are expected to follow the issue through, document every step, escalate it when required, and ensure the final record is complete.
This role is strictly for fluent English speakers, as the position requires regular phone and written communication with carriers and U.S.-based internal teams.
What You’ll Be Doing
Trailer Tracking and Record Accuracy
- Reconcile the active trailer pool against the master trailer list and maintain accurate trailer records throughout the shift.
- Identify and flag stale, missing, dark, overdue, or conflicting trailer records and maintain daily aging-based exception lists.
- Record and verify trailer dock assignments against the trailer actually spotted at each location.
- Audit outbound trailer lists for correct counts, duplicates, conflicting statuses, and missing or inconsistent information.
- Route trailer-number discrepancies to the appropriate internal team for resolution and complete all daily tracking work within established deadlines.
Trailer Retrieval and Carrier Follow-Up
- Contact carriers by phone and email regarding off-network or overdue trailers and continue follow-up until each case is resolved.
- Maintain complete contact logs documenting contact date, carrier or individual, communication method, response or commitment, and required next action.
- Track the number of days each trailer remains off-network and maintain weekly aging reports.
- Increase follow up on significantly overdue equipment and escalate non-responsive carriers once established thresholds are reached.
- Confirm recovered trailers are properly returned to the active trailer pool and update records accordingly.
Chargeback Documentation
- Compile complete documentation packages for potential carrier chargebacks,
including trailer/unit details, carrier information, timelines, photos, source documents, and supporting costs.
- Calculate potential chargeback amounts using company-approved rates and guidelines.
- Verify all required supporting documentation is complete and accurate before submission.
- Submit completed chargeback files to the appropriate decision-maker and track each case through closure.
- Maintain a register of carrier-related exposure, repeat issues, and chargeback activity.
Repair Documentation and Invoice Reconciliation
This role prepares and documents chargebacks but does not independently decide whether a carrier will be charged.
- Convert trailer repair updates from Telegram and other operational channels into structured records, including unit details, defects, work performed, vendor, dates, and supporting photos.
- Track repair intake and release times and maintain complete repair histories for reference when repeat issues occur.
- Compare vendor invoices against authorized repair work and identify duplicate, unsupported, or questionable charges.
- Escalate repair and invoice discrepancies to the appropriate owner without independently approving, rejecting, or determining chargebacks.
- Confirm required repair and release documentation is complete before a trailer is returned to service.
This is not a mechanic position. You will document and reconcile repair activity, but physical inspections, diagnostics, preventive maintenance, brakes, tires, structural repairs, and other hands-on maintenance work are handled by on-site maintenance personnel.
Exception Management and Follow-Through
- Work the open exception queue daily and maintain an accurate list of unresolved items.
- Identify the current status of each issue, including blockers and who owns the next action.
- Follow up consistently until each item is resolved, closed, or properly escalated.
- Provide clear written updates covering completed work, open items, blockers, and next-step ownership.
- Ensure issues are properly handed off between shifts, teams, carriers, and systems, and provide a weekly execution summary to leadership.
What Success Looks Like
- Maintain complete, accurate, and consistently updated trailer, repair, carrier follow-up, and exception records.
- Proactively monitor and pursue dark, overdue, off-network, and long-aging trailers, escalating risks before unnecessary recovery costs occur.
- Convert repair communications into structured records and verify vendor invoices against authorized work, escalating discrepancies promptly.
- Ensure chargeback files and supporting documentation are complete and accurate before handoff for review.
- Consistently work open exceptions through closure, complete daily and weekly operational cycles, and maintain records reliable enough for seamless team handoff.
The ultimate goal is simple: the record should be accurate enough to be trusted without someone else having to verify your work again.
Who We’re Looking For
- Experience in trailer management, fleet operations, dispatch, transportation, roadside assistance,
maintenance coordination, carrier invoicing, detention billing, freight claims, fleet recordkeeping, and cross-border trucking operations.
- Familiarity in TMS platforms such as LoadStop or Monarch, Samsara or similar telematics tools, Fleetio or comparable maintenance software
- Fluent in English and Spanish, with previous experience in freight, fleet operations, transportation, trucking, or logistics.
- Strong Excel skills, including filtering, sorting, lookups, cleaning raw exports, removing duplicates, and managing high-volume operational data.
- Highly organized and detail-oriented, with the ability to manage repetitive records and high-volume follow-up without losing track of open items.
- Strong professional communication and documentation skills, including persistent carrier follow-up, handling difficult conversations, and clearly documenting actions and next steps.
- Able to identify inconsistencies, follow established policies and escalation procedures accurately, accept feedback, work collaboratively, and commit to a stable long-term role.
Schedule and Work Setup
- Full time & permanent remote work setup
- Available shift: Monday - Saturday 7 AM - 5 PM Central Time
- Reliable internet and a backup connection are required
- Collaborative Zoom based work environment with camera open
- Time tracking software used for accountability and performance support
What You’ll Get
- Consistent pay biweekly. No delayed payments and no excuses.
- Independent Contractor setup with a $75 monthly insurance stipend after 30 days
- Stable, long-term remote position with opportunities for professional growth
- Direct exposure to U.S. executive leadership and live transportation operations
- Hands-on experience in trailer, fleet, carrier, repair, and cost-control operations where accuracy and follow-through are highly valued
If you are someone who enjoys taking an open operational problem, chasing every piece until it is resolved, and leaving behind a clean and accurate record, we’d love to hear from you.
