Why this role exists
To support our rapid provider expansion (~4 providers added monthly through mid-2027), this role provides critical operational leadership for Health Information Management (HIM), Medical Records, and Scheduling at scale. By driving daily operational excellence and developing junior management talent, you will enable executive operational leadership to focus on long-term strategic initiatives.
What you will do
- Operational Leadership: Oversee daily operations, SLAs, data accuracy, and coverage across HIM, Medical Records, and Scheduling teams.
- Team Development: Provide weekly leadership coaching to Junior Managers on team management, accountability, and workload prioritization.
- Capacity Planning: Maintain staffing ratios (0.3 schedulers per provider FTE) and accurately forecast quarterly hiring needs.
- Process Standardization: Standardize operational workflows and documentation to ensure seamless, consistent onboarding across new provider cohorts.
- Cross-Functional Collaboration:
Partner closely with Training and Data Analytics leads to optimize onboarding curricula and refine operational reporting.
- Escalation Management: Serve as the secondary escalation point for non-clinical operational issues and process roadblocks.
What we are looking for
- 4+ years of experience managing medical records, HIM, or scheduling teams within a US-facing remote healthcare setting.
- Proven track record of managing supervisors and mentoring emerging leaders.
- Regulatory Compliance: Strong working knowledge of HIPAA regulations and medical records compliance standards.
- Industry Background: Prior experience in Long-Term Care (LTC) or Behavioral Health settings is highly preferred.
- Language Skills: Full bilingual fluency in written and spoken English and Spanish (essential for cross-team coordination and US operations).
- Technical Proficiency: Hands-on proficiency with Google Workspace and spreadsheet-based reporting tools (advanced formulas, dashboards, KPI tracking).
