About the Role:

As a Soft Collections Agent at Necodex, you will support our dental clinic partners by managing overdue patient accounts with professionalism and empathy. Your primary responsibility will be to contact patients about outstanding balances, arrange payment solutions, and maintain positive patient relationships while supporting our partner clinics' financial health.

Key Responsibilities:

Patient Account Management:

- - Contact patients with overdue balances via phone, email, and SMS using a patient-first approach.
- Review and verify patient account statements, insurance claims, and payment histories.
- Clearly explain outstanding balances, payment options, and financial assistance programs.

Payment Resolution & Negotiation:

- - Negotiate and set up payment plans based on patients' financial situations.
- Process payments securely over the phone and guide patients on online payment methods.
- Escalate complex cases to the appropriate team while maintaining patient confidentiality.

- Documentation & Compliance:
- - Accurately update patient accounts and payment agreements in the billing/collections system.
- Ensure all collection activities comply with HIPAA, FDCPA, and healthcare regulations.




- Maintain detailed records of all patient interactions and payment arrangements.

Patient Relations & Conflict Resolution:

- - Handle sensitive financial discussions with tact, patience, and professionalism.
- Resolve billing disputes and answer patient questions regarding charges or insurance claims.
- Preserve the clinic's reputation by providing exceptional service, even in difficult situations

Skills & Competencies:

- - Excellent communication skills, able to explain financial terms simply and empathetically.
- Strong negotiation and problem-solving abilities to reach mutually beneficial solutions.
- High emotional intelligence to de-escalate tense conversations and maintain patient trust.
- Basic proficiency with spreadsheets (Excel/Google Sheets) and payment processing tools.
