Are you a strong understanding of purchasing, supplier management, and operational efficiency?
At Hola Ink, we create products, environments, and experiences for the cruise and hospitality industries. We are looking for a Purchasing & Strategic Sourcing Manager who understands the guest experience, asks thoughtful questions, and uses sound judgment to lead our purchasing operations and help sustain a strategic, efficient, and consistent department.
This fully remote role leads purchasing, strategic sourcing, supplier relationships, and purchasing execution. You will understand the purpose behind each request, identify suitable products and materials, evaluate alternatives, and secure solutions that meet brand, quality, budget, and ship delivery requirements.
Success requires curiosity, creative thinking, commercial judgment, and reliable follow-through. Cruise and hospitality understanding comes first; print production and materials expertise are strongly preferred and valuable in evaluating how a solution can be produced.
The incoming manager will participate in a structured training and knowledge-transfer period with the current purchasing lead before assuming full ownership of the department.
WHAT YOU’LL DO
- Lead the Purchasing Team: Establish priorities, clarify responsibilities, distribute workload, and hold the team accountable for decisions, communication, accuracy, and purchasing follow-through in a fully remote environment.
- Manage Supplier Relationships: Build a reliable supplier network across products, print, fabrication, and specialty sourcing. Evaluate capabilities, samples, quality, responsiveness, capacity, and delivery performance.
- Strategic Sourcing & Negotiation: Understand the intended guest experience, brand standards, use conditions, quantities, budget, and deadline before sourcing. Compare products, materials, production methods, and suppliers; recommend the best overall solution and negotiate pricing, terms, minimum quantities, and lead times.
- Own Purchasing Execution: Oversee requisitions, purchase orders, confirmations, specifications, approvals, and supplier follow-ups. Keep available items progressing within approved authority when another item is unavailable; investigate the exception and resolve it promptly.
- Coordinate with Internal Teams: Partner with Account Management, Design, Operations, Production, Inventory, and Finance to clarify briefs and align sourcing with project needs. Purchasing owns sourcing and supplier execution; Operations coordinates overall delivery, Production validates technical production requirements, and product-development leadership owns broader experience concepts and commercialization.
- Anticipate Risks and Recommend Solutions: Question incomplete specifications and identify availability, quality, pricing, and timing risks early. Bring leadership a recommendation with viable alternatives, photos or samples, pricing, availability, lead times, and tradeoffs rather than an unresolved problem.
- Improve Processes and Preserve Knowledge: Establish practical SOPs and clear handoffs. Document approved products, specifications, samples, supplier capabilities, recurring needs, and lessons learned so the department can make consistent decisions without repeated founder intervention.
- Improve Data & Visibility: Maintain accurate purchasing information and use existing systems and spreadsheets to improve reporting, tracking, and decision-making.
- Explore Automation: Identify opportunities to use automation and practical AI applications to reduce repetitive administrative work while maintaining appropriate data protection and human oversight.
- Monitor Performance: Track supplier reliability, order accuracy, purchasing cycle time, cost performance, quality, suitability for intended use, readiness for ship delivery deadlines, and proactive resolution of sourcing issues.
- Support Continuous Improvement: Use purchasing data and recurring issues to identify opportunities for improvement and present practical recommendations to leadership.
- Understand Ship Timelines and Deployments: Work with Operations and Logistics to plan supplier production, approvals, shipping, consolidation, and vessel delivery around sailing schedules, deployment changes, and required shipboard dates. Confirm documentation requirements and escalate risks before delivery windows are missed.
WHO YOU ARE
- You have demonstrated purchasing or procurement experience, including supplier sourcing, negotiation, purchasing execution, and team leadership. You take responsibility for moving work forward and closing issues.
- You understand cruise and hospitality operations and can evaluate a sourcing decision through the guest experience, brand expectations, and practical onboard use. Shipboard experience is preferred; relevant onboard Inventory Manager or Print Manager experience is an acceptable background when supported by the purchasing and leadership capabilities required for this role.
- You are comfortable working with purchasing,
or business management systems and spreadsheets to organize, analyze, and report purchasing data.
- You have a proven ability to improve processes, establish clear and consistent ways of working, and reduce unnecessary administrative work.
- You are highly organized and able to balance urgent project needs with inventory planning and longer-term sourcing priorities. You understand ship timelines, logistics, vessel delivery windows, and deployments, and account for them when evaluating suppliers and lead times.
- You are a clear communicator and relationship builder who works effectively with suppliers, internal teams, and leadership. You can lead and collaborate fully remotely, maintain visibility through shared systems, and communicate risks and decisions promptly.
- You exercise informed judgment: you ask good questions, spot missing information, connect a request to its intended purpose, and recognize when an available or technically acceptable product is unsuitable. You develop creative, workable alternatives and clearly recommend the next step.
- You are comfortable leading change, clarifying responsibilities, and building structure within a growing department.
- You value accuracy, accountability, collaboration, and continuous improvement.
- A Bachelor’s degree in Supply Chain Management, Business Administration, Operations, or a related field, or equivalent practical experience, is preferred.
- Relevant supply chain or procurement certification is a plus.
- Experience with purchasing automation, reporting tools, AI applications, or operational improvement initiatives is a plus.
- Experience with print production, substrates, fabrication, finishing, and material selection is strongly preferred. You can work with Production to evaluate feasibility, durability, appearance, and suitability for the intended guest experience.
