Onboarding Manager

We're Goldbar Staffing, and we place trained remote executive assistants and specialized support professionals with high-end business owners, mainly in real estate, mortgage, and professional services. We're looking for a confident, highly organized Onboarding Manager to guide our new clients from the day they sign up until their assistant starts working.

This is not a role where you simply attend meetings and pass messages along.

We're looking for someone who can lead calls with business owners and executives, keep many client accounts moving at once, coordinate our internal teams, and make sure every client feels they are in expert hands from start to finish.

You should be someone who can take ownership of a client's journey, know what needs to happen next, and keep things moving without needing constant supervision.

What You'll Do

- Guide each new client from sign-up until their assistant starts working, usually three to five weeks
- Host a 60-minute onboarding call with each new client to explain the process, learn about their business, and review their service agreement
- Prepare written briefs and join workflow review calls with our systems specialist
- Present candidates to clients, prepare candidates beforehand, and host the sessions where clients meet them
- Coordinate with our training team and keep clients updated on their assistant's progress
- Book and open launch calls, then hand each client to their long-term account manager
- Manage about 20 client accounts at once, each at a different stage, with no missed follow-ups
- Serve as the client's main point of contact, always giving clear updates and next steps
- Coordinate handoffs between our sales, recruiting, training, finance, and account management teams
- Write call summaries, client updates, and internal reports, using AI tools to work faster
- Keep client records in our CRM complete and current

What We're Looking For

- 2+ years in account management, client success, or client onboarding, handling many accounts at once




- Management or team-lead experience, including coordinating across departments
- Confidence leading video calls with high-end business owners and executives
- Excellent written and spoken English
- Highly organized, with strong follow-through on a busy, changing calendar
- Calm and professional when delivering difficult news, such as delays or a candidate who did not work out
- Comfortable using AI tools such as Claude or ChatGPT every day
- Comfortable with Zoom, Slack, and Google Workspace from day one

A Major Plus:

Experience in staffing, recruiting, HR, or remote talent placement is a strong advantage. Experience serving luxury or high-end clients, using HubSpot or another CRM, or speaking both English and Spanish fluently will also help you stand out.

You don't need to know every tool we use. We'll teach you HubSpot, our AI call recorder, and our internal client platform. What matters is that you're comfortable learning systems and using them to keep every client on track.

The Right Person

You don't need to be an expert at everything above.

What matters most is that you take ownership.

If a client is waiting on an update, you don't wait for someone to remind you. You check where things stand, follow up with the right team, and give the client a clear answer and next step.

You should also be comfortable having difficult conversations with calm and confidence, and making every client feel looked after even when plans change.

We're looking for someone who loves running a tight process, keeps many plates spinning without dropping one, and can be trusted to deliver a polished experience for every client.

This role is a great fit for someone who is warm, dependable, calm under pressure, organized, and naturally proactive.

Working Hours

This is a full-time, 40-hour remote role, Monday to Friday, during US Eastern business hours. It requires reliable internet, a professional workspace, and the ability to lead video calls confidently throughout the workday.

Salary:

MX$17,500 to MX$21,000 per month
