About BuildSignals
BuildSignals is a pay-per-appointment marketing agency for bathroom remodelers. We run Meta ads for remodeling companies, then call, qualify and book every homeowner lead into an in-home appointment on our clients' calendars.
Our clients only pay for appointments that actually sit, so the ISA is the engine of the business. Every lead you call is money our client already spent, and every appointment you set and confirm is how we get paid.
Role overview
The Inside Sales Agent (ISA) is the voice of our clients to their homeowner leads. You call every inbound lead fast, qualify them, book them into in-home appointments, confirm those appointments so they show, and handle any customer service the lead needs along the way.
You are also a point of contact for our contractor clients: keeping them updated on appointments, passing along homeowner details, and flagging problems early. You own the CRM, so every lead has a clear status, notes and next step. This is a remote, phone-heavy role for someone who likes talking to people and hates leaving a lead untouched.
Key responsibilities
Speed to lead and outbound calling
- Call every new inbound lead within 5 minutes of it coming in, on behalf of the client's brand. This applies to every lead from 8am to 8pm in the lead's local time zone, Pacific through Eastern. Anything slower is not accepted
- Follow the lead follow-up cadence (calls, texts, voicemails) until the lead is booked, disqualified or marked dead
- Work aged and no-show leads through reactivation calls and texts
Qualifying and booking appointments
- Qualify every homeowner on ownership, project type, budget, timeline and decision-makers
- Book qualified homeowners into the client's calendar for an in-home estimate, matching each client's service area and availability
- Make sure every decision-maker (both spouses, co-owners) will be at the appointment. No one-legged appointments
- Set clear expectations with the homeowner on what happens at the appointment and how long it takes
Confirmations and show rate
- Confirm every appointment by call and text the day before and the day of
- Reschedule cancellations right away instead of letting them drop
- Keep texts short and personal, like a real person texting, not an automated system
Lead customer service
- Answer homeowner questions about the client's services, process and next steps
- Handle inbound calls and texts from leads, including reschedules, follow-up questions and complaints
- Escalate anything outside your scope (pricing, contracts, job issues)
to the client or Leo quickly and politely
Client communication
- Send clients appointment details before each appointment: homeowner name, address, project, budget and notes from the call
- Get the outcome of every appointment from the client (sat, sold, no-show, rescheduled) and log it
- Flag quality issues, calendar gaps or service area problems to Leo before they become client complaints
- Keep a professional, reliable tone. Clients should feel like you are part of their team
CRM organization and management
- Keep every lead in the right pipeline and stage in GoHighLevel, with call notes and a next step
- Log every call, text, booking, confirmation and outcome the same day
- Tag disqualified leads with the reason (renter, no budget, out of area, bad number) so we can improve ad targeting
- Keep calendars, pipelines and contact records clean, with no duplicates or stale leads
Reporting and improvement
- Send a short end-of-day report: leads called, contacted, booked, confirmed, and anything Leo needs to know
- Share patterns you hear on calls (common objections, lead quality, ad questions) so we can improve ads and scripts
- Follow BuildSignals scripts and SOPs, and suggest improvements based on what works on the phone
What counts as a sat appointment
A sat appointment is the standard every booking is held to. It must have all four:
- The person is the homeowner
- Every decision-maker is present
- The budget is confirmed and fits the project
- The appointment is held in the home and actually happens
An appointment missing any of these does not count, for us or for the client.
How performance is measured
The ISA is measured on sat appointments first, and on the numbers that lead to them. Targets below are starting points and get set per client.
- Sat appointments: Appointments that meet all four sat criteria. Starting target: Set per client each month
- Show rate: Booked appointments that actually sit. Starting target: 70%+
- Speed to lead: Time from lead coming in to first call. Starting target: Under 5 minutes on every lead, 8am to 8pm local time. No exceptions
- Contact rate: Leads reached by phone. Starting target: 60%+
- Booking rate: Contacted leads booked into an appointment. Starting target: 30%+
- CRM accuracy: Leads with correct stage, notes and next step. Starting target: 100%, same day
- Client feedback: Clients rating appointment quality and communication. Starting target: No unresolved complaints
Tools you will use
- GoHighLevel (GHL): CRM, pipelines, calendars, calling, texting and automations
- Client portal and funnel dashboard: where clients see their leads and appointments
- Phone and SMS: calling and texting leads under each client's brand
- Google Workspace and Slack or text: internal communication with Leo and clients
Experience with GHL is a big plus. We train on everything else.
