Excelstra is a wealth strategy firm for self-made business owners. We lead with heart and earn trust through action.
We are looking for an Executive Assistant to multiply our CEO’s time and focus. You will run the systems that protect it: calendar, communications, preparation, and follow-up. The result is a CEO who arrives prepared to each conversation and spends attention on the work only the CEO can do.
You will join the team as a long-term collaborator who anticipates needs and keeps information moving to the right people.
What you will own
- The CEO’s calendar: scheduling, resolving conflicts, and protecting focus time around the CEO’s priorities
- Communications triage: screening email, calls, and requests, drafting responses for review, and routing items to the right owner
- Meeting preparation and follow-up: agendas, background, materials, notes, and action items
- Tracking the commitments the CEO makes until they are complete, with regular status updates
- Travel and logistics for trips and events, including itineraries and expense reports
- First point of contact between the CEO and internal and external partners
- The routines behind the CEO’s office, from calendar rules to document handling
- Logistics and document support for leadership meetings and planning sessions
What you bring
- Proven experience as an executive assistant, ideally supporting a CEO or founder
- Advanced calendar and time management, with scheduling and task-management tools
- Polished written English for drafting emails, memos, and documents on behalf of an executive (C1 level or higher)
- Fluency with standard office and collaboration tools
- Discretion with confidential information
- Anticipation, organization, and composure when priorities change
- Warm, professional communication at every level
- Reliability and follow-through
- Availability for a weekly planning check-in with the CEO during US Eastern business hours
- Spanish is a plus
How we work together
- Contractor role, part-time in the first month, moving to full-time after the 90-day onboarding and trial period.
- Pay of USD 10 to 15 per hour, based on experience
- In your first month, you learn the CEO’s priorities and preferences, and we confirm decisions together until the routines are documented
- After that, you act independently within the rules you and the CEO have set
- Weekly planning check-in with the CEO, with brief alignment as needed
- Quarterly review of calendar rules and routines
- Room to grow into broader coordination across the leadership team
