Job Type: Full-Time (40 hours/week) for candidates who can estimate, set budgets and own the full procurement loop. Part-Time (20 to 25 hours/week) where the scope is limited

Overview

We are seeking for a Construction Project Coordinator / Procurement Coordinator for an Atlanta-based luxury custom and semi-custom home builder constructing 15 to 20 homes per year with a team of roughly 10. The client is adding a Construction Project Coordinator / Procurement Coordinator to its procurement team, reporting to the procurement manager and working alongside an existing coordinator, in a team with established SOPs and real structure alongside the judgment calls that always exist in a fast-moving custom home office.

The ideal candidate brings real-world experience in finished residential materials: plumbing, lighting, tile, kitchen and bath, and residential finish goods. Structural or site-work procurement does not substitute. This role checks tile patterns, light fixture finishes, down rod lengths, and model numbers.

The client has a playbook, and they want someone who follows it intelligently, applying judgment at each step rather than ticking boxes. Custom home estimation experience is strongly valued because pricing and buying are treated as one loop. Above all, the client wants a forward-thinking self-starter who uses AI and automation to compress repetitive work, carries enough finished-goods judgment to know which flagged discrepancies matter, anticipates what comes next, and takes ownership without being chased.

Key Responsibilities

Procurement & Order Management

- Review supplier and subcontractor bids against design documents, confirming SKUs, colors, finishes and model numbers match before approval
- Create and queue purchase orders for finished residential materials, ensuring orders are placed correctly and within budget
- Track order status, flag discrepancies against project design files, and follow through to resolution without waiting to be prompted

Budget & Estimation Support

- Apply custom home estimation knowledge to build and set project budgets,



treating pricing as a prerequisite to buying rather than a separate function
- Cross-reference procurement costs against budgeted figures, raise concerns proactively, and own budget accuracy from procurement start through order placement
- Identify cost variances early so the team can course-correct before they affect the build schedule

Document & Compliance Management

- Maintain organized digital filing for project documents, design files, quotes and schedules
- Manage COI tracking for subcontractors, checking expiration dates and requesting updated certificates as needed
- Ensure change orders are created accurately and filed in the correct project records

Warranty & Project Management Support

- Triage incoming warranty requests, follow the warranty SOP with judgment rather than by rote, and follow up with trades to confirm resolution
- Monitor the Monday.com boards, applying logic checks so statuses reflect actual field conditions
- Answer client questions and route issues to the right team members in a timely manner

Systems & Software

- Manage day-to-day workflows in Monday.com, keeping boards current and accurate
- Work within Buildertrend for schedules, POs and change orders, ready to move to the client's proprietary suite as it rolls out
- Use Microsoft Office 365 and AI or automation tools to reduce repetitive checking work, applying finished-goods judgment to filter what actually requires action

Preferred Skills & Qualifications

- Minimum 3 years of experience in residential construction coordination or procurement, specifically in custom or semi-custom home building focused on finished goods: plumbing, lighting, tile, kitchen and bath. Structural, rebar, concrete, or site-work procurement does not substitute
- Minimum 2 years of that experience working directly with U.S.-based residential construction companies




- Demonstrated ability to read and interpret construction design documents, specifications, and material schedules, including tile patterns, fixture finishes, down rod lengths, and model numbers
- Custom home estimation experience is strongly valued: the ideal candidate can build and set a project budget, not only monitor or flag against one
- Follows the established playbook and SOPs with genuine judgment, not as a box checker. Given one task, works out what comes next and brings a considered question or a proposed answer rather than only a question
- Proficiency with Monday.com and Microsoft Office 365; Buildertrend experience is a strong asset
- Comfort using AI and automation tools to reduce repetitive work, combined with the experience to judge which flagged discrepancies require action
- Clear, easily understood spoken English and genuine comfort holding working conversations by phone with a U.S.-based team throughout the day
- A dedicated role, not shared with other clients. The candidate must be reliably available during agreed working hours with no conflicting engagements

Nice-to-Have (Bonus Skills)

- Hands-on experience with Buildertrend, including schedules, POs, and change order workflows
- Familiarity with warranty management processes in a home building context
- Experience supporting a procurement manager or working as part of a small, fast-moving construction office team
- Comfort navigating in-house project management tools and adapting as systems evolve
