THIS IS A PART TIME JOB THAT WILL EVENTUALLY BECOME FULL TIME AS RESPONSIBILITIES INCREASE

ABOUT THE COMPANY A US-based professional and personal development company that designs and delivers experiential learning workshops in person for schools (K-12 and universities), organizations and individuals, with regular public workshops in New York and Washington, DC. It is a family-owned business entering a new growth phase: a rebrand and a B2B-first strategy launch this fall, and the leadership team wants its finance operation to be as sharp as the new strategy.

T HE R O L E

You will own the day-to-day finance operation. Today the books live in QuickBooks, an external accountant handles taxes and year-end, and there is nobody in the middle turning transactions into clean records, reliable collections and clear reporting. That is the gap you fill: bookkeeping,

accounts receivable and collections, payment reconciliation across the payment processors,

monthly reporting and dashboards for the leadership team, and continuous improvement of how all of it works. The founder and the strategy lead do not have time to manage this task by task; they need someone who sees what is missing, incorrect or inefficient and goes and fixes it.

- Bookkeeping in QuickBooks: transaction categorization, correct P&L; treatment, a clean monthlyclose and records the external accountant can rely on.
- Accounts receivable and collections: invoice tracking, 30- and 60-day follow-ups with clients, and keeping receivables healthy.
- Payment reconciliation across Stripe, Square, Shopify and PayPal, matching processor payouts to bookings and invoices.
- Reporting and dashboards on revenue,

cash collected, AR, expenses and other key metrics, builtso leadership can see the financial health of the business at any time.
- Liaison with the external accountant: keep tax and accounting treatment consistent, preparewhat they need and flag issues early.
- Process improvement: simplify payment and reconciliation flows, automate recurring work(transaction identifiers, rules, templates, reporting tools) and document the processes you build.

- Hands-on QuickBooks Online experience. This is non-negotiable: the company has years of financial history in QuickBooks and needs someone who can step in comfortably from day one
- 2 to 5 years in bookkeeping, accounting, finance operations or FP&A;, ideally in a small business or startup where you wore several hats.
- Experience with payment processors (Stripe, Square, Shopify, PayPal). You don't need to be an expert in every platform, but you have worked across most of them.
- Comfortable building reports and dashboards (advanced Excel or Google Sheets; Power BI,
- Looker Studio or similar is a plus) and familiar with US business and accounting basics.
- Advanced English, spoken and written: you will work directly with the leadership team and the
- accountant in the US.
- Extremely proactive and organized: you take ownership without task-by-task management, follow through, and raise issues before they become problems.
- Curious about automation and AI tools applied to finance work.
- Available in US Eastern Time hours, part-time to start (~20 hours a week), with the potential to move to full-time if workload and performance justify it.
