The Event Assistant is a hands‑on operational role responsible for the physical execution and on‑site support of corporate events. This role focuses on setup and teardown, technical coordination, on‑site vendor management, and real‑time problem‑solving during events.
This is NOT a coordination or administrative role. The Event Assistant works on‑site, personally carrying out tasks to ensure flawless event execution.
Key Responsibilities
Physical Execution of Events (Primary Focus)
- Carry out event setup and teardown: configure furniture, modular walls, audiovisual equipment, and signage
- Perform real‑time room reconfigurations during active events
- Conduct morning A/V checks (7:00 AM): test Zoom Rooms, projectors, microphones, and videoconferencing systems
- Monitor and adjust HVAC settings to ensure comfort in rooms
- Move equipment and materials as needed (requires the ability to lift and carry event supplies)
Vendor Management and On‑Site Logistics
- Coordinate with catering, A/V, cleaning, and security vendors during events
- Manage coffee breaks, lunch service, and attendee flow
- Receive deliveries and verify inventory of materials and equipment
- Report incidents immediately to analysts via Slack
Event Support and Documentation
- Maintain event checklists and ensure that all materials are ready
- Update event calendars, trackers, and systems with accurate information
- Proactively flag discrepancies, risks, or missing information
- Assist with post‑event cleanup and equipment storage
Collaboration
- Work closely with Event Analysts (Carlos and Erick), Maintenance (MAC/Handyman), and external vendors
- Be available for extended hours (events may end at 7–8 PM; setup begins at 7 AM)
- Support simultaneous events in multiple rooms
Required Qualifications
Essential (Must‑Have)
- 1–3 years of hands‑on experience in event production, execution, or operations. Examples: event runner, BTL promoter with setup experience, venue operations staff, production assistant
- Verifiable experience with physical event setups: assembling furniture, configuring rooms, handling equipment
- Basic familiarity with A/V equipment (microphones, projectors, Zoom) at the user level
- Basic conversational English (A2–B1): sufficient for operational communication with vendors and following instructions
- Strong attention to detail and ability to work under pressure
- Availability for versátil schedules (early mornings, afternoons/evenings)
- Physical ability to lift and move equipment and materials
Nice‑to‑Haves
- Male (preferred)
- Experience with corporate events, conferences, or activations
- Background in BTL agencies, venues, convention centers, or hotel banquet operations
- Experience using Zoom Rooms, Google Meet, or similar video conferencing systems
- Knowledge of catering logistics for corporate events
