Bookkeeping & Operations Coordinator

You'll join a growing, owner-led professional services business. It's a small team, which means the details matter: every invoice, every payroll run, and every timesheet goes through the person in this seat.
As Bookkeeping & Operations Coordinator, you'll start at approximately 20 hours per week, owning the day-to-day financial details of the business: bookkeeping in QuickBooks Online, invoicing, payroll support, and reconciliation. This role is designed to grow into a full-time position as CRM, administrative, and back-office operations are transitioned to you.
What You'll Do
- Bookkeeping. Manage day-to-day bookkeeping in QuickBooks Online and keep financial records accurate and documentation organized.
- Invoicing. Prepare and manage client invoices, making sure every bill goes out accurately.
- Payroll. Assist with payroll processing, review employee timesheets, clock-ins and clock-outs for accuracy, and track and allocate employee tips through payroll.
- Reconciliation. Perform basic account and transaction reconciliation.
- Spotting issues early. Identify billing, payroll or bookkeeping discrepancies, and proactively resolve them or flag them.
- Connected systems. Support the workflows between QuickBooks Online, Stripe, and the CRM.
- A smooth handoff. Work closely with the owner and the existing accounting and bookkeeping resources as responsibilities transition to you.
As the Role Grows into Full-Time
- CRM.
Manage GoHighLevel CRM workflows, including CRM-to-QuickBooks and Stripe processes.
- Clients. Prepare and send client proposals, and support client communication and follow-up.
- Admin and light HR. General administrative support, plus basic employee and PTO tracking.
- Back office. Own recurring tasks the owner handles today, maintain SOPs and improve processes.
- Side projects. Depending on your interests: product sourcing, Canva projects, or website updates.
What You Bring
- Hands-on experience with QuickBooks Online.
- A strong understanding of invoicing, payroll, timesheets, and basic bookkeeping and reconciliation.
- Extreme attention to detail — you spot the discrepancy instead of just processing the transaction.
- Organization and dependability — you're comfortable owning recurring responsibilities.
- Strong written and verbal English communication.
- Comfort learning new systems and working independently in a small business.
- Real interest in growing beyond bookkeeping into broader operations and administrative support.
Nice to Have
- GoHighLevel, Stripe, or CRM administration experience.
- Executive assistant or operations coordination experience.
- Light HR/PTO administration or client service experience.
- Canva or basic visual design skills, or product sourcing and research experience.
