We are looking for a detail-oriented, tech-savvy, and customer-focused Medical Scheduling and Coordination Specialist to join our team. The idóneo candidate will be responsible for scheduling, coordination, and communication between Attorneys, Doctors, and Patients. You will play an essential part in ensuring smooth operations, timely coordination, and a positive experience for all parties involved. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys helping others.

Key Responsibilities:

- Manage scheduling and site reservations with precision, ensuring appointments are strategically set for full days.
- Communicate effectively with attorneys and other departments to ensure proper coordination and meet deadlines.
- Build and maintain patient files, ensuring all information is up to date and complete.
- Conduct research to find missing information and cross-reference availability and routes.
- Collaborate with doctors to accommodate their requests and ensure the timely cancellation of sites when necessary.
- Handle phone communications with a professional and friendly demeanor, especially with self-represented, Spanish-speaking patients who may have limited understanding of the Med-Legal process.
- Help educate patients on the Med-Legal requirements in a clear and patient manner.
- Utilize technology to manage scheduling and track appointments efficiently.




- Use critical thinking skills to resolve scheduling challenges and handle changes or cancellations in a timely manner.
- Ensure efficient creation of routes by cross-referencing availability and mileage, and calculate travel times for doctors and patients.
- Assist in handling high-volume calls while maintaining excellent customer service standards.

Qualifications:

- Prior experience in scheduling, coordination, or similar roles in a medical or legal setting preferred.
- Comfortable speaking on the phone with attorneys, doctors, and patients.
- Bilingual in Spanish is highly preferred.
- Strong multitasking skills with the ability to meet deadlines.
- Proficient in using technology, including scheduling software and Microsoft Office.
- Strong organizational skills and attention to detail.
- Ability to think quickly and adapt to changes in a fast-paced environment.
- Friendly and professional attitude with a commitment to excellent customer service.
- Good math skills and the ability to cross-reference data and create efficient routes.
