Role Overview:We are seeking an experienced Virtual Case Manager to support personal injury cases throughout their full life cycle, from client intake and insurance claims through medical treatment, discovery, settlement, and resolution. In this role, you will keep case files organized, communicate with clients and third parties, monitor outstanding documentation, and provide attorneys with the information they need to move cases forward. You will make a meaningful daily impact by coordinating medical and insurance matters, supporting litigation activities, and ensuring that deadlines and follow-ups are handled accurately. This opportunity is idóneo for a proactive, detail-oriented professional who takes ownership of responsibilities and works effectively with limited supervision.
Schedule:
Monday to Friday 8:30 AM - 5:30 PM [EST][EDT] (United States of America)
Your Responsibilities Will Include but Are Not Limited To:
- Keeping attorneys and the legal team informed of important case developments.
- Drafting correspondence, emails, and other legal documents as requested.
- Organizing settlement documents and assisting with case closing activities.
- Assisting with calculating and documenting firm expenses as cases approach settlement.
- Maintaining records of outstanding liens and related correspondence.
- Obtaining supporting information and documentation from clients and third parties.
- Gathering and organizing documents and information required for discovery responses.
- Assisting attorneys with preparing and responding to discovery.
- Reviewing and organizing medical records and identifying relevant information for the legal team.
- Assisting with filing and managing no-fault and liability insurance claims.
- Following up with clients, medical providers, insurance carriers, courts, and other parties to keep cases moving forward.
- Assisting with managing personal injury cases from initial client intake through settlement or resolution.
- Tracking discovery deadlines and following up on outstanding items.
- Preparing Bills of Particulars, Uniform Interrogatories, Demands for Production of Documents, Combined Demands, and other discovery requests and responses.
- Tracking clients’ medical treatment and appointments.
- Requesting medical records, medical bills, lien information, and related documentation from healthcare providers and insurance carriers.
- Maintaining accurate records of insurance communications and claim activity.
- Preparing and submitting insurance applications, forms, and supporting documentation.
- Communicating professionally and empathetically with clients regarding medical treatment, insurance concerns, and other case-related matters.
- Supporting client intake and onboarding, including preparing and sending initial paperwork and case documentation.
- Keeping attorneys and the legal team informed of important case developments.
- Providing general litigation and case preparation support to attorneys.
- Identifying gaps or inconsistencies in medical documentation for attorney review.
- Monitoring treatment progress and following up on outstanding records, bills, and documentation.
- Assisting clients with scheduling and coordinating medical appointments.
- Communicating with insurance carriers regarding claim status, documentation, unpaid medical bills, denied bills, and coverage issues.
- Identifying missing information, outstanding documentation, and incomplete case tasks, and conducting proactive follow-ups.
- Maintaining complete, accurate, and organized electronic case files.
- Performing additional paralegal, legal administrative, and case support responsibilities as assigned.
What We're Looking For:
- Prior experience as a Paralegal, Legal Assistant, Case Manager, or similar professional within a personal injury law firm is required.
- Experience supporting personal injury cases from intake through settlement or resolution is required.
- Experience with medical records, medical bills, medical documentation,
healthcare providers, and insurance carriers is required.
- Familiarity with no-fault claims, liability claims, discovery, and litigation documents is required.
- Strong written and verbal English communication skills are required.
- Experience with New York personal injury law, litigation, discovery, and insurance procedures is preferred.
- Experience with motor vehicle accidents, pedestrian accidents, construction accidents, premises liability, or other negligence claims is preferred.
- Ability to work independently in a remote environment while handling confidential legal, medical, and client information professionally.
