Construction Project Coordinator
- Work Type: Full-time.
- Schedule: 8 a.m. – 4 p.m CT., Monday – Friday, 40 hours per week
- Location: 100% Remote.
Role Overview
We are looking for an organized Construction Project Coordinator based in Latin America (LatAm) with excellent English proficiency and a neutral accent to coordinate project administration and assist our Project Managers. Serving as the primary first point of contact for incoming quote requests and job awards, this role spends approximately 50% of the time on client-facing calls to confirm the full scope of work for our projects and pass details along to the Project Manager. Additional duties include supporting Project Managers with project tracking, compliance documentation, drafting correspondence, managing files, and creating reports, and other duties as assigned. Key Responsibilities
- Customer Service: Serve as the primary first point of contact when a customer reaches out, spending approximately 50% of your time on client-facing calls to confirm the complete scope of the request for quote and approved construction projects and seamlessly pass all details along to the Project Manager.
- Project Administration: Review and validate project file documentation, ensure all client requirements are strictly followed, and assist Project Managers with the initial project administrative setup.
- Audit & Compliance: Complete and meticulously review job file documentation for final upload and the internal audit process.
Ensure required forms are completed and executed by the customer/client.
- Financial Tracking: Prepare purchase orders for Project Manager approval, help track schedules and budgets, and validate completed purchase order documentation while meeting strict deadlines.
- Team Collaboration: Collaborate weekly with Project Managers to provide updates on file progress and billing status.
- Support Duties: Assist with other administrative duties as necessary.
Requirements & Qualifications
- Experience: A solid background in the construction industry working in a Project Coordinator, Project Assistant, or similar administrative role is required, along with demonstrated CSR and customer-facing communication experience.
- Education: High school diploma or GED is required.
- Communication & Language: Excellent spoken and written English skills with a neutral accent are strictly required for high-volume customer-facing phone interactions.
- Technical Proficiency: Working knowledge of current business software technologies for drafting correspondence, generating reports, and managing data.
- Location & Remote Infrastructure: Must be based in Latin America (LatAm) with a dedicated, noise-free home office setup equipped with a reliable, high-speed internet connection and a backup power source.
Preferred Qualifications (Bonus):
- Hands-on construction experience is highly preferred
