About The Department of Foreign Affairs and Trade (Amend for each agency)
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia's security, enhancing Australia's prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas.
The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia's pursuit of integral, regional and bilateral interests.
About the position
The Executive Assistant works under limited direction to provide high-quality support and advice to the Ambassador and support overarching Embassy functions as required. This includes managing the Ambassador's diary, travel, and playing a coordinating role in establishing meetings with political, economic, other government and private sector network contracts in Mexico and in countries of accreditation. The position works with the team to coordinate high level official events and senior official visits. Where required, this position might need to work outside of normal business hours.
The key responsibilities of the position include, but are not limited to:
Coordinate, manage and arrange the Ambassador's diary and program of meetings, including balancing the agenda and managing conflicts, ensuring relevant bookings, managing the driver schedule and managing, responding and sending invitations.




Assist in coordinating HOM meeting briefs, including working closely with relevant embassy staff to for timely input and delivery.
Establish, develop and maintain strong working relationships with a range of key internal and external stakeholders including a network of EAs of senior contacts, relevant contacts in countries of accreditation, other Australian-based and locally engaged staff and the Ambassador's domestic staff.
Plan and arrange the Ambassador's travel program, ensuring logistical arrangements, as well as confirming meetings and facilitating other preparations.
Manage and coordinate all aspects of the Ambassador's hosting of meetings and events, including managing invitations and protocol, greeting and escorting visitors, liaison with the Ambassador's domestic staff, other logistics.
Work closely with the Public Diplomacy officer on the Embassy's program of official functions and events. Assist in managing and organising logistics, including liaising with embassy staff, domestic staff, external clients and vendors, as well as assisting on invitations and protocol.
Manage and coordinate relevant financial processes and procedures on behalf of the Ambassador including but not limited to travel and credit card acquittals, representation budgets and event budgets.
Coordinate formal diplomatic communications with diplomatic missions, Ministries of Foreign Affairs, and other key government contacts in Mexico and the Embassy's other countries of accreditation and assist with protocol functions where required.
