Radiology Scheduler / Patient Scheduling Specialist

About the Opportunity

Intugo, in partnership with a foreign company specializing in outpatient diagnostic imaging services, is looking for an experienced Radiology Scheduler / Patient Scheduling Specialist to join the team.

This position is adecuado for someone with experience scheduling patients in a U.S. healthcare environment who understands radiology workflows, insurance verification, prior authorizations, and patient preparation requirements.

The Radiology Scheduler will be one of the first points of contact for patients and referring physician offices. The role requires strong communication skills, attention to detail, and the ability to accurately coordinate imaging appointments while ensuring all necessary information is complete before the patient's visit.

Key Responsibilities

- Answer inbound scheduling calls and follow up on voicemails, appointment requests, and patient inquiries.
- Schedule, reschedule, and cancel outpatient imaging appointments.
- Coordinate exams such as MRI, CT, ultrasound, X-ray, DEXA, PET/CT, and other diagnostic imaging procedures.
- Review imaging orders for accuracy and completeness, including patient information, exam type, body part, laterality, contrast requirements, diagnosis, and provider information.
- Identify incomplete or unclear orders and contact referring physician offices for clarification.
- Verify patient demographics and insurance information.
- Perform insurance eligibility checks and identify whether prior authorization or referrals are required.
- Route authorization cases to the appropriate team with complete information.




- Provide patients with approved self-pay rates or estimated financial responsibility when applicable.
- Complete required MRI and contrast safety screening questions.
- Identify and escalate positive safety screening responses according to established protocols.
- Provide patients with exam-specific preparation instructions, including fasting, hydration, full bladder, medication, clothing, and arrival requirements.
- Confirm appointments and help fill cancelled or open appointment slots.
- Coordinate with referring physician offices regarding orders, appointment status, and urgent scheduling requests.
- Document patient communication, appointment changes, cancellations, no-shows, and follow-up attempts accurately.
- Follow HIPAA requirements and established patient privacy procedures.
- Escalate clinical questions to technologists or radiologists rather than providing medical advice.

Required Qualifications
- 1+ years of patient scheduling experience in a U.S. healthcare setting.
- Fluent spoken and written English.
- Strong phone communication skills and ability to communicate clearly with U.S.-based patients.
- Working knowledge of medical terminology, anatomy, and laterality.
- Understanding of U.S. healthcare insurance, including commercial insurance, Medicare, Medicaid managed care, workers' compensation, and no-fault insurance.
- Experience with insurance eligibility verification, referrals,



and prior authorization processes.
- Strong typing and data-entry skills while handling live patient calls.
- High attention to detail and ability to identify missing or inconsistent information.
- Ability to remain professional and courteous when assisting anxious, elderly, or frustrated patients.
- Reliable attendance and punctuality.

Preferred Qualifications
- Bilingual English/Spanish.
- Experience with radiology benefit-management platforms such as eviCore, Carelon, or NIA.
- Previous experience working in a healthcare call center or scheduling environment with quality and productivity metrics.
- Familiarity with Radiology Information Systems (RIS) or similar healthcare scheduling systems.
