Job Type: Full-time Los Angeles Local Time Schedule: Monday through Friday, 5:30 p.m.–2:00 a.m. Pacific Time

Custodio & Dubey LLP, a growing Los Angeles law firm, is seeking an experienced and dependable After-Hours Receptionist & Intake Specialist to join our remote team.

This person will handle incoming calls after our Los Angeles office closes, screen prospective clients, complete detailed intakes, and assist qualified leads with signing retainer agreements. Our firm handles personal injury and habitability/landlord-tenant matters.

Responsibilities

- Answer incoming calls promptly and professionally
- Screen prospective personal injury and habitability clients
- Collect and accurately document relevant case information
- Complete detailed intake questionnaires
- Enter, organize, and update leads in Lead Docket and other firm systems
- Identify qualified or urgent leads and escalate them appropriately
- Schedule consultations and explain the next steps to prospective clients
- Follow up with prospective clients by telephone, text, and email
- Send retainer agreements for electronic signature
- Monitor outstanding agreements and follow up until completed
- Route non-intake calls and take detailed messages
- Maintain strict confidentiality and professionalism
- Remain available and responsive throughout the scheduled shift

Required Qualifications

- At least one year of experience as an intake specialist for a U.S.-based personal injury law firm. (California Personal injury Law Firm is a Plus)
- Fluent English, with excellent verbal and written communication skills
- Professional, confident, and compassionate telephone presence




- Experience screening prospective personal injury clients and identifying potentially viable cases
- Experience sending retainer agreements through VineSign, DocuSign, Adobe Acrobat Sign, or a comparable platform
- Familiarity with:
- Filevine
- Airtable
- Lead Docket
- Slack
- Dropbox
- GoTo
- RingCentral
- Strong attention to detail and accurate data-entry skills
- Ability to handle sensitive conversations calmly and professionally
- Reliable internet connection, computer, headset, and quiet workspace

Preferred Qualifications

- Experience working with a California personal injury law firm (a plus)
- Familiarity with California personal injury intake procedures
- Experience handling habitability or landlord-tenant intakes (a plus)
- Experience converting qualified leads into signed clients

Interview Process

Selected applicants will receive sample intake lines to read and must submit a video recording or shareable video link of themselves delivering the lines. This step will help us evaluate English fluency, professionalism, confidence, and telephone presence.
