Green Attic Insulation is a Chicago-area insulation and energy-efficiency company serving homeowners and property owners across Chicagoland and surrounding suburbs. Our work includes attic insulation, air sealing, ventilation improvements, crawl space insulation, cellulose insulation, spray foam, and related home performance services.

We help customers improve comfort, reduce energy loss, solve attic and ventilation issues, and complete insulation projects with clear communication, accurate documentation, and organized follow-through.

About the Role

We are hiring an Admin Assistant with real experience supporting a U.S.-based insulation, weatherization, home performance, roofing, remodeling, or home services company.

This is not a basic admin role. We need someone who already understands how U.S. insulation jobs are handled from the office side, including customer communication, estimate support, scheduling, project documentation, photos, invoices, follow-ups, crews, materials, and job closeout.

General admin experience alone is not enough.

The right person is organized, detail-oriented, responsive, and comfortable working in a fast-moving home services environment where accuracy and follow-through matter every day.

Important Requirement

Applicants must have experience working with a U.S.-based insulation, weatherization, home performance, attic insulation, roofing, remodeling, general contractor, or home services company.

Strong preference will be given to candidates who have specifically supported insulation or attic-related projects.

What You Will Do

You will support daily office operations, customer communication, project coordination, and documentation for insulation-related jobs.

Responsibilities include

- Communicate professionally with homeowners, leads, customers, vendors, crews, and internal team members
- Help schedule inspections, estimates, site visits, installations, follow-ups, and project closeouts
- Organize customer and project files, including photos, estimates, contracts, invoices, permits, rebates, and job notes
- Support insulation project documentation, including attic photos, before-and-after photos, measurements, scope notes, and job completion records
- Help prepare and review customer-facing messages, follow-ups, and reminders
- Track open leads,



pending estimates, unsent documents, unsigned contracts, unpaid invoices, and incomplete project files
- Help coordinate crew schedules and confirm project details before work begins
- Review job information for missing details before it is passed to the estimator, sales team, project manager, or field crew
- Assist with basic CRM updates, lead tracking, file naming, and customer status updates
- Follow up with customers after estimates, installations, and service appointments
- Help keep the team organized so no customer, project, or document falls through the cracks

Insulation Knowledge We Expect You do not need to be an installer, but you should be familiar with common insulation and attic-related terms such as:
- Attic insulation
- Blown-in cellulose
- Fiberglass insulation
- Spray foam insulation
- Air sealing
- Weatherization
- R-value
- Attic ventilation
- Soffit vents
- Baffles
- Exhaust fan venting
- Bathroom fan venting
- Mold treatment or attic sanitation
- Crawl space insulation
- Old insulation removal
- Before-and-after job photos
- Energy efficiency improvements

Required Experience
- Experience supporting a U.S.-based insulation, weatherization, roofing, remodeling, construction, or home services company
- Strong understanding of customer communication in a U.S. contractor/home services environment
- Experience handling project files, estimates, appointments, invoices, schedules, and follow-ups
- Strong written English and professional communication skills
- High attention to detail
- Ability to manage multiple open tasks without losing track
- Comfortable using Google Workspace, email, spreadsheets, CRM systems, and online project tools
- Able to work independently and ask clear questions when information is missing

Preferred Experience
- Direct experience with attic insulation or home performance projects
- Experience working with U.S. homeowners
- Experience reviewing project photos and identifying missing documentation
- Experience with CRMs, scheduling tools, Google Drive, Jobber, HubSpot, ServiceTitan, CompanyCam, AccuLynx, Buildertrend, or similar systems




- Experience supporting estimates, proposals, contracts, and project closeout documentation
- Experience coordinating with sales reps, estimators, production managers, and field crews

- Checked if a contract, invoice, permit, or project document was missing
- Updated a CRM after a customer call
- Helped prepare or send project follow-up messages
- Worked inside a U.S. contractor/home services office environment

This Role Is Not a Fit If:
- You only have general admin experience and no U.S. construction/home services exposure
- You have never worked with homeowners or contractor project workflows
- You are not comfortable handling multiple open follow-ups
- You wait to be told every step instead of proactively checking what is missing
- You are not detail-oriented with files, schedules, and documentation
