Job Summary:

We are seeking an experienced and detail-oriented Remote Project Design Management Specialist to join our commercial furniture design and proposal team. This role is responsible for supporting projects throughout the full project lifecycle, from initial space planning and furniture selection through product specifications, pricing, proposals, revisions, customer approval, ordering, and project completion. The idóneo candidate has hands-on experience in the commercial office furniture industry and strong knowledge of furniture layouts, space planning, product specifications, quotations, and proposal development.

Experience with CET Commercial Interiors and/or 2020 CAP-Giza is strongly preferred, along with proficiency in Adobe InDesign, Excel, and other project documentation tools. In this role, you will collaborate closely with internal design and operations teams, customers, manufacturers, and manufacturer representatives to ensure that layouts, product selections, finishes, pricing, specifications, and order documentation remain accurate and consistent throughout each project. The role requires excellent attention to detail, strong organization, effective communication, and the ability to manage multiple projects, revisions, and priorities in a remote environment.

This is a design, specification, and project coordination role with no sales, prospecting, lead-generation, business-development, or commission responsibilities.

Key Responsibilities:

Design & Space Planning

- Develop commercial office furniture layouts and space plans from architectural drawings, customer requirements, field information, and project discussions.
- Use CET Commercial Interiors and/or 2020 CAP/Giza to create layouts, specifications, bills of material, and related project documentation.
- Produce appropriate 2D/3D views, renderings, elevations, and presentation graphics.
- Research and specify furniture products, sizes, finishes, fabrics, laminates, paint colors, and other product details.




- Identify appropriate product alternatives and value-engineering options when needed to meet project budgets, requirements, or lead times.

Proposals, Pricing & Revisions

- Prepare professional customer proposals using Adobe InDesign, Acrobat, Excel, CET/CAP output, manufacturer literature, product images, plans, renderings, and supporting project information.
- Obtain and verify manufacturer pricing, discounts, freight information, lead times, and product specifications.
- Maintain accurate costing and pricing information and incorporate revisions consistently throughout drawings, specifications, pricing, and proposal documents.
- Maintain strong version control so the current approved design, pricing, finishes, and specifications remain consistent across all project documents.

Project Coordination & Order Support

- Participate in internal and customer project meetings as appropriate, primarily to address design, specification, product, finish, and project-detail questions.
- Communicate professionally with customers, manufacturers, and representatives regarding layouts, product selections, revisions, finishes, pricing, availability, samples, and technical information.
- Assist with converting approved proposals into accurate orders, including QuickBooks quotes, purchase orders, deposit invoices, and related documentation.
- Review manufacturer order acknowledgements against purchase orders and approved specifications and identify discrepancies before production.
- Assist with order tracking, estimated ship dates, delivery information, manufacturer updates, and project documentation.
- Maintain current project information in Monday.com, spreadsheets, and customer/project folders and coordinate with operations through delivery, installation, punch-list items,



and completion.
- Perform other duties related to the position as assigned.

Qualifications & Requirements:

- Proficient level of English (written and spoken).
- Ability to work independently in a remote environment and collaborate effectively with internal teams, customers, and vendors.
- Experience with commercial furniture layouts, specifications, quotations, and proposals.
- Proficiency in Adobe InDesign, Microsoft Excel, and Microsoft Word.
- Experience with CET Commercial Interiors / 2020 CAP-Giza.
- QuickBooks Online and Monday.com experience highly preferred.
- Strong attention to detail with dimensions, quantities, finishes, pricing, and orders.
- Strong organizational and project-management skills with the ability to manage multiple projects and revisions.
- Willingness to learn new manufacturers, products, software, and internal procedures.
