The Role
We're looking for a proactive, people-focused Onboarding Specialist to own a founder's first impression of Oneday.
Every founder arrives somewhere between excited and terrified. They're starting an accredited MBA while building a business, often with a job alongside it. The first few weeks decide whether they settle in or quietly drift. Your job is to make sure that by day one they are set up, introduced to their mentor, clear on what happens next, and certain they are in the right place.
That is two jobs at once. Clearing blockers: the login that won't work, the form nobody explained, something about curriculum. And building belonging: running orientation, making introductions land, turning a list of names into a cohort that actually knows each other. Both rest on a third — records, reporting, and follow-up kept tight enough that nothing slips.
This is not a passive support role. You own founder readiness from enrollment through the first weeks, and you'll be expected to chase, escalate, and solve rather than wait for a ticket to arrive.
Onboarding sits within our Founder Success team, closely tied with Cohort Management — you'll work closely with Cohort Managers as founders move out of onboarding and into their program. It's hands-on and founder-facing. You'll be on calls and across various messengers most days.
What you'll do
Make founders feel like they belong
- Run orientation sessions and welcome calls for every new cohort, across all of our academic tracks
- Introduce each founder to their one-on-one mentor and make sure that first conversation actually gets booked
- Host group check-ins and office hours that build momentum before the program starts, not after
- Set the tone for how founders experience Oneday: warm, direct, and never leaving anyone guessing
Clear the path
- Be the first point of contact for founder questions — enrollment, scheduling, platform access — resolving what you can and knowing when to route to Finance team, our academic partners, or leadership
- Set founders up across every platform they'll use, from the learning platform to Slack and Google Meet, and troubleshoot when something breaks
- Track each founder's readiness week by week, spot the ones going quiet, and reach them before they disengage
- Support founders who defer to a later start date or rejoin a cohort: re-engaging them, rematching mentors, restoring access
Keep the operation tight
- Maintain accurate cohort records across Airtable, Asana, and Notion, and own the founder communication loop in Slack and Zendesk
- Contribute to weekly reporting on enrollment, participation, submissions, and engagement
- Coordinate with mentors, facilitators, and the wider program team so handovers into the cohort are clean
- Document and systematize what you learn, so process lives in our shared SOP base rather than in one person's head
You'll likely do well here if you
- Are genuinely energized by people — you'd rather have the conversation than send another email, and you're comfortable with founders who are ambitious and nervous at the same time
- Build rapport quickly and hold founders accountable with warmth
- Write clearly and carefully: most founder communication is written, and instructions need to be unambiguous the first time
- Stay organized under volume and follow through without being chased — several cohorts, different academic tracks, dozens of founders, and a handful of systems, all in view at once
- Are fluent with AI tools and comfortable across Airtable, Asana, Notion, Zendesk, and Slack — you already automate what can be automated, rather than waiting to be shown how
- Are willing to challenge how things are done and rebuild them better
- Bring a background in high-touch customer success, student success, account management, or a similar customer-facing role
- Are a clear communicator in spoken as well as written English, and can provide meaningful overlap with US business hours (EST)
