Purpose

Support the Parts & Accessories Customer Service, Customer Relations, Inventory, and Operations teams in delivering the most efficient and accurate spare parts process to Dealers.

Plans, coordinates and organizes all actions and means that guarantee the availability of spare parts, through the effective, timely and friendly establishment of control and monitoring spare parts & accessories sales standards, policies and procedures towards the dealer network.

This role is essential to maintaining after-sales customer service and supporting Service and Sales functions.

Position Tasks and Responsibilities

- Establish efficient communication with dealers and field managers through effective, timely and user-friendly control and monitoring mechanisms of established standards, policies and procedures.
- Direct assistance to the dealer for the correct selection of the part number, follow up on orders, pricing, back orders.
- Develop, implement and train commercial spare parts policies to Dealers, which includes:
- Ordering process
- Spare parts shipping process
- Claims, damage and material loss
- Dealers credit lines
- Payments schedule
- EPC & DMS system
- Ensure availability of parts & accessories through:
- Effective review and updating of back order, to keep it as low as possible.




- Search and confirmation of alternative parts or replacements.
- Confirm the effective delivery of the parts to the Dealers, whether correct, complete and in good condition, based on the established policies considering:
- Maintenance of claims submitted by the distributor for approval or cancellation daily and within a period of 24 hours.
- Create, monitor and ensure parts KPI´s such as, service level (Fill rate, B/O, Claims), spare parts & accessories sales target, delivery time, etc.
- Benchmark to implement better practices like pricing strategy, market plans, promotions, related to the spare parts teams.
- Solve and expedite back orders and stock orders as necessary to satisfy customer expectations and on time delivery targets.
- Maintain spare parts information across SAP/WMS/DMS systems and internal platforms.
- Manage damage or material shortages return processes and coordinate shipments back to designated Dealers

Knowledge of:

- Project Management
- SAP
- Have some financial/commercial experience, including the ability to construct a business case from detailed and varied inputs
- Inventory, order management, back order, parts & accessories sales, claims, distribution

Skills:

- High level of interpersonal skills to work and interact effectively with internal and external customers.
- Oral and written communications skills.
- High target oriented
- Excellent negotiations and high level of reporting skills.
- Good communications skills in English (listening, writing, speaking, and reading).
- Must be able to work in a methodical and organized fashion, gathering and analyzing data from many different source systems.

Experience / Education:

- Bachelor’s degree in business, Engineering, Customs, Administration.
- 3 years of Experience in the Automotive industry,
- Excel, Power point, Word advanced level
