The business operates across clients, property owners, house managers, vendors, contractors, booking operations, financial workflows, and internal teams.

Our client is entering an exciting stage of growth, with increasing booking volume, a growing property portfolio, and opportunities to expand into new markets.

As the business scales, so does the need to build smarter, more automated ways of operating.

The company already runs key parts of its operations across Supabase, Click

Up, and Zendesk , but many workflows still involve manual coordination, follow-up, and decision-making.

This role is designed to grow in scope and seniority as the company expands its bookings, properties, team, and markets.

You'll help shape how a growing company runs - not simply inherit a finished system.

We are seeking an experienced Operations & Systems Lead to own and improve core business operations across bookings, clients, vendors, contractors, and internal teams.

The candidate does not need to be a software developer, but must have enough technical fluency to
understand workflow automation, define business requirements, and work effectively with developers and automation specialists.

Coordinate relationships and execution across clients, property owners, Casa Managers, vendors, contractors, and internal teams.
Coordinate implementation, testing, and continuous improvement of new operational systems and workflows.
Strong AI fluency, with practical experience using AI tools such as Claude, GPT, Gemini, or comparable models to execute and improve business operations.




Ability to identify where AI can move beyond assisting employees and instead execute multi-step operational workflows, automate decisions, coordinate actions, and complete recurring business processes.
Working knowledge of Click

Up Automations or comparable operations/workflow platforms is a plus.
Working knowledge of APIs, webhooks, authentication concepts, and data exchange between connected business systems.
Experience working with integrations across CRM, project management , communication, forms, databases, accounting, or other operational platforms.
Working knowledge of AI-enabled workflows and practical business applications, from execution and automation - including AI agents that carry out multi-step tasks and automate operational processes - to analytical applications such as classification, information extraction, document analysis, routing, summarization, and decision support.
Ability to define workflow logic, business rules, exceptions, and expected outcomes for implementation by developers or automation specialists.
(Software development experience is not required)

Strong experience managing operations in a client- and vendor-driven business.
Ability to take operational initiatives from identification and planning through implementation, measurement, and continuous improvement.
Strong client-facing, vendor-management, and problem-solving skills.
Experience working with budgets, operational costs,



approvals, payments, or financial workflows.
Support operational financial workflows, including vendor and contractor payments, property-owner payouts, approvals, budgets, documentation, and AP readiness.
Ability to operate effectively with limited supervision in a fast-paced and evolving environment.
Advanced written and spoken English.

Bachelor's degree in Business Administration, Operations Management, Hospitality Management, Industrial Engineering,
Supply Chain / Logistics, Project Management, or a related field preferred.
Equivalent relevant professional experience in operations, hospitality, events, property management, logistics, or another comparable environment may be accepted in place of a formal degree.

Experience in hospitality, events, property management, adaptable spaces, short-term rentals, luxury services, concierge services, production operations, field operations, or a comparable client- and vendor-driven business.
Experience implementing workflow automation in a production business environment.
Knowledge of structured project or process-management methodologies such as Agile, Lean, Six Sigma, or comparable frameworks.
PMP or comparable project/operations certification.

Your experience is primarily project coordination without direct ownership of business planning, operations, and outcomes.
You have little or no experience working with workflow automation, integrations, or AI-enabled business processes.
Your background is primarily software development with limited experience managing client-, vendor-, or hospitality- driven operations.
You depend on developers or technical specialists to define the operational workflow or translate the business problem for you.
