This role is designed to grow in scope and seniority as the company expands its bookings, properties, team, and markets. You'll help shape how a growing company runs - not simply inherit a finished system.

Role Overview

We are seeking an experienced Operations & Systems Lead to own and improve core business operations across bookings, clients, vendors, contractors, and internal teams. The idóneo candidate combines strong operational experience with demonstrated ability to analyze processes, structure improvements, and implement scalable workflows. A significant part of the role will involve identifying where automation and AI can execute, improve, or fully transform operational processes. The candidate does not need to be a software developer, but must have enough technical fluency to

understand workflow automation, define business requirements, and work effectively with developers and automation specialists.

Duties and Responsibilities

- Own day-to-day booking operations, including client requirements, documentation, logistics, vendors, additional services, and operational follow-up.
- Coordinate relationships and execution across clients, property owners, Casa Managers, vendors, contractors, and internal teams.
- Identify repetitive, inefficient, or high-risk processes and design more scalable operational workflows.
- Define requirements, priorities, implementation plans, and success criteria for process improvements.
- Identify opportunities where AI and automation can reduce or eliminate manual operational work.
- Coordinate implementation, testing,



and continuous improvement of new operational systems and workflows.
- Build repeatable processes capable of supporting increased booking volume, additional properties, and future markets.

Technical Requirements

- Strong AI fluency, with practical experience using AI tools such as Claude, GPT, Gemini, or comparable models to execute and improve business operations.
- Ability to identify where AI can move beyond assisting employees and instead execute multi-step operational workflows, automate decisions, coordinate actions, and complete recurring business processes.
- Working knowledge of ClickUp Automations or comparable operations/workflow platforms is a plus.
- Understanding of automation logic including triggers, actions, conditions, branching, dependencies, and exception handling.
- Working knowledge of APIs, webhooks, authentication concepts, and data exchange between connected business systems.
- Experience working with integrations across CRM, project management , communication, forms, databases, accounting, or other operational platforms.
- Working knowledge of AI-enabled workflows and practical business applications, from execution and automation - including AI agents that carry out multi-step tasks and automate operational processes - to analytical applications such as classification, information extraction, document analysis, routing, summarization, and decision support.
- Ability to define workflow logic, business rules, exceptions, and expected outcomes for implementation by developers or automation specialists.

(Software development experience is not required)

Operational & Administrative Requirements

- Strong experience managing operations in a client- and vendor-driven business.
- Demonstrated experience identifying, redesigning, and implementing operational process improvements.
- Experience managing multiple stakeholders, workflows, priorities, deadlines, and dependencies simultaneously.
- Ability to take operational initiatives from identification and planning through implementation, measurement, and continuous improvement.
- Strong client-facing, vendor-management, and problem-solving skills.
- Experience working with budgets, operational costs, approvals, payments, or financial workflows.
- Support operational financial workflows,



including vendor and contractor payments, property-owner payouts, approvals, budgets, documentation, and AP readiness.
- Strong ownership, organization, communication, prioritization, and independent decision-making skills.
- Ability to operate effectively with limited supervision in a fast-paced and evolving environment.
- Advanced written and spoken English.

Academic Background

- Bachelor's degree in Business Administration, Operations Management, Hospitality Management, Industrial Engineering,
- Supply Chain / Logistics, Project Management, or a related field preferred.
- Equivalent relevant professional experience in operations, hospitality, events, property management, logistics, or another comparable environment may be accepted in place of a formal degree.

Strongly Preferred

- Experience in hospitality, events, property management, flexible spaces, short-term rentals, luxury services, concierge services, production operations, field operations, or a comparable client- and vendor-driven business.
- Proven process improvements that reduced manual work, delays, errors, costs, or operational dependency.
- Experience implementing workflow automation in a production business environment.
- Experience applying AI to real operational workflows.
- Experience managing distributed or multi-location operations.
- Experience working directly with developers, product teams, or automation specialists.
- Knowledge of structured project or process-management methodologies such as Agile, Lean, Six Sigma, or comparable frameworks.
- PMP or comparable project/operations certification.

You are not a fit if

- Your experience is primarily project coordination without direct ownership of business planning, operations, and outcomes.
- You have limited experience redesigning or improving operational processes through systems, automation, or technology.
- You primarily rely on manual follow-up to keep recurring operational processes moving.
- You require continuous stakeholder direction, approval, or feedback to maintain progress.
- You have little or no experience working with workflow automation, integrations, or AI-enabled business processes.
- Your background is primarily software development with limited experience managing client-, vendor-, or hospitality- driven operations.
- You depend on developers or technical specialists to define the operational workflow or translate the business problem for you.
- You regularly escalate routine operational decisions rather than taking ownership and resolving them independently.
