ABOUT THE COMPANY A clinician-led, home- and community-based ABA (Applied Behavior Analysis) provider supports approximately 140 children and families across California’s Bay Area and Central Valley. The organization has a team of 70 BCBAs, Program Supervisors, and Behavior Technicians, with services funded through commercial insurance and Regional Centers. The practice uses Lumary, a Salesforce-based ABA practice management platform, alongside Hi Rasmus for clinical data collection, RingCentral for phones, Rippling for HR and payroll, and Google Workspace.

THE ROLE

This position serves as the organization’s go-to technology resource and in-house AI builder. The focus is on owning and improving an established technology stack: administering Lumary/Salesforce, supporting Google Workspace, RingCentral, Hi Rasmus, and Rippling, resolving day-to-day technology issues, and using AI and automation to reduce repetitive administrative work. The role functions as the de facto IT lead, including frontline troubleshooting, documentation, new-hire technology training, and identifying opportunities to automate manual workflows.

Strong hands-on Salesforce administration experience and practical experience using AI to automate real workflows are essential.

SYSTEMS ADMINISTRATION

- Administer the Lumary/Salesforce environment end to end, including users, profiles, permission sets, objects and fields, page layouts, validation rules, flows and automation, reports, and dashboards.
- Own Google Workspace administration, including accounts, groups and shared inboxes, Drive structure and sharing, security settings, and device policies.
- Manage RingCentral users, call routing, voicemail, and texting; Hi Rasmus and its Lumary integration; and the technical side of Rippling. Coordinate vendor support tickets and change requests.

AI & WORKFLOW AUTOMATION

- Map administrative workflows across intake, scheduling, authorizations, HR, and billing to identify repetitive manual steps suitable for automation.
- Design, build, and maintain AI tools and automations. Potential use cases include moving website intake submissions into Lumary as leads, smarter scheduling based on availability and drive time, automated appointment reminders and updates,



and AI-assisted email sorting and routing.
- Connect systems through APIs and integrations using Salesforce Flow, Google Apps Script, automation platforms, and AI models such as Claude, selecting the simplest effective tool.
- Own existing automations, maintain reliability, and document how each works.
- Stay current on AI developments, test ideas through small pilots, and provide leadership with clear rollout recommendations.

SUPPORT & TROUBLESHOOTING

- Serve as the first point of contact for staff technology questions; triage, resolve or escalate issues, and follow through to closure.

IMPROVEMENT & SECURITY

- Learn the technology stack deeply and identify opportunities to improve existing tools, streamline processes, and retire tools that are not providing sufficient value.
- Implement appropriate security hygiene, including access reviews, MFA, offboarding checklists, data handling practices, and HIPAA-aware system configuration.

TECH TRAINING & ENABLEMENT

- Lead the technology portion of new-hire orientation, including tool access and training on Lumary, Hi Rasmus, RingCentral, Rippling, and Google Workspace.
- Use short assessments to measure new-hire understanding and improve training.
- Help staff adopt new AI tools through practical guides and refreshers.

MUST HAVE

- Hands-on Salesforce administration experience, including configuration, custom objects and fields, users and permissions, automation, reports, and dashboards. Salesforce Administrator certification is a plus; proven experience is more important.




- Hands-on experience using AI to automate workflows or streamline processes through prior employment, consulting, or personal projects.
- Genuine interest in AI and applying it within a growing healthcare organization.
- Solid Google Workspace administration experience.
- Customer or technical support experience in a help desk, call center, or similar environment, with patience supporting non-technical users.
- Strong troubleshooting skills across web applications, accounts and permissions, devices, and integrations.
- Excellent written documentation habits.
- Independent, self-directed ownership of problems from initial report through resolution.
- Availability during Pacific Time business hours.

NICE TO HAVE

- Experience as an AI consultant, automation engineer, or in a similar role supporting business AI adoption.
- Experience with APIs and LLMs directly, including Claude or OpenAI APIs, or automation platforms such as Zapier, Make, or n8n.
- Scripting experience in Python, JavaScript, Apex, or Google Apps Script.
- Healthcare or behavioral health experience and a working understanding of HIPAA.
- Experience with Lumary or another Salesforce-based practice management or EHR platform.
- Experience administering RingCentral, Hi Rasmus, or Rippling.
- Experience developing training materials or leading onboarding and enablement sessions.
- Familiarity with security frameworks or small-business security practices.

HOW THE ROLE FITS THE ADMINISTRATIVE TEAM The position is part of a four-person administrative team. This role owns Lumary/Salesforce administration, AI and workflow automation, Google Workspace, RingCentral, technology support, security hygiene, documentation, and staff technology training. Other administrative functions include client intake and scheduling, HR and people operations, and clinical operations.

ROLE DETAILS

- Full-time, remote.
- Working hours aligned with Pacific Time business hours.
- HIPAA training and a signed BAA required before accessing client data.

Job Types: Full-time, Contract

Pay: $20,000.00 - $25,000.00 per month
