The Onboarding Specialist is responsible for maintaining continuous communication with employees and contractors throughout their employment lifecycle. This role is focused on employee follow‑ups, onboarding support, I‑9 compliance, timesheet management, workforce engagement, and assignment success.

The idóneo candidate is highly organized, people-oriented, and comfortable interacting with employees daily to ensure compliance, engagement, and retention.

Key Responsibilities:
Employee Communication

Serve as the primary point of contact for employees and contractors after hire.

Conduct regular follow-ups regarding onboarding, assignment progress, attendance, and overall satisfaction.

Build strong relationships and provide timely support for questions or concerns.

Perform scheduled check-ins during the first week, 30 days, and throughout the assignment lifecycle.

Identify disengagement, attendance concerns, or resignation risks and elevate appropriately.

Onboarding Administration

Coordinate and track completion of I‑9 documentation and employment eligibility verification.

Conduct virtual I‑9 document reviews and ensure compliance with company processes and DHS‑authorized procedures.

Follow up with employees to obtain missing onboarding documents.

Ensure all new hire paperwork is completed accurately and on time.

Coordinate onboarding activities, system access, equipment requests, and first‑day readiness.

Timesheet Management

Monitor weekly timesheet submissions and attendance records.

Proactively contact employees regarding missing or late timesheets.

Send reminders and perform follow‑ups to ensure timely approvals and payroll processing.





Escalate ongoing timesheet compliance issues to management.

Track absenteeism, tardiness, and assignment participation.

Employee Engagement

Maintain consistent communication with employees throughout their assignments.

Gather feedback and identify workplace concerns before they elevate.

Partner with Recruiting, Operations, and Account Management teams to improve employee experience.

Support retention initiatives through proactive outreach and relationship building.

Reporting & Tracking

Maintain accurate records of employee interactions, follow‑ups, and engagement activities.

Generate reports related to onboarding status, I‑9 completion, timesheet compliance, attendance, and workforce engagement.

Provide management visibility into workforce trends and assignment health.

Required Qualifications:

3+ years of experience in employee onboarding, workforce coordination, staffing operations, HR support, or employee engagement.

Experience managing employee communications and conducting regular follow‑ups.

Knowledge of onboarding processes, employment documentation, and workforce compliance.

Experience with HRIS systems such as Workday, ADP, SAP Fieldglass, Paylocity, or similar platforms.

Strong Excel and reporting skills.

Excellent verbal and written communication skills in English and Spanish.

Strong customer service and relationship management abilities.

Preferred Qualifications

Experience supporting contingent workforce or staffing programs.

Familiarity with E‑Verify, I‑9 compliance, and remote verification processes.

Experience with timesheet management and workforce tracking systems.

Ability to manage multiple employee interactions and follow‑up activities simultaneously.
