About the Client
A bootstrapped AI-powered B2B SaaS company serving the catering and events industry is looking for an AI Automation Specialist to own lead sourcing and operational coordination for its growing portfolio of restaurant and hospitality clients. The company runs a productized outbound agency service on top of its core platform—executing AI-assisted cold email campaigns at scale for 20–30 restaurant and catering businesses.
This is an early-stage, founder-led team (two founders currently), and this hire joins as the third team member and the company's first dedicated operations hire. The team is lean, technically strong, and building rapidly. Leadership is hands-on with high expectations for self-direction and proactive problem-solving.

About the Role
This is an execution-heavy, automation-focused role blending lead sourcing, campaign coordination, and light client support—not a strategic account management position. You'll source leads using AI-powered enrichment tools, manage AI bot responses to inbound prospects, introduce warm leads to clients via email and text, set up email infrastructure for new client onboards, and monitor campaign deliverability. All prospect and client communication happens over email and text—no phone calls required.
Success in this role means consistently sourcing 1,000+ leads per week, responding to bot-generated replies within 30 minutes, and proactively identifying workflow inefficiencies before they block the team. Scope will evolve significantly over 6–12 months as more manual tasks are automated, so comfort with ambiguity and shifting responsibilities is essential. What matters most is that you make each process better as you go—identifying gaps and building solutions without waiting to be told.

Core Responsibilities
Lead Sourcing & Campaign Setup
Source approximately 1,000+ leads per week using AI-powered enrichment platforms connected to cold email infrastructure
Build and maintain lead lists for ongoing outbound sequences across multiple active client campaigns




Add sourced leads directly into cold email platforms (Instantly, Email Bison, etc.) to keep all campaigns fully populated
Set up email infrastructure for new client onboards, including domain purchases, inbox provisioning, and alias configuration
Monitor email deliverability metrics and flag or replenish any inbox below 50% delivery rate
Outbound Response Management & Lead Handoffs
Manage AI bot responses to 10–40 inbound prospect replies daily, reviewing and approving all bot-drafted emails before they are sent (human-in-the-loop quality control)
Draft professional, on-brand email responses as the outbound alias on behalf of clients
Introduce warm, interested leads to clients via email and text with relevant prospect context
Follow up on 5–10 outstanding leads daily to keep the pipeline moving and warm
Client Onboarding & Campaign Operations
Own the end-to-end onboarding workflow for new clients (approximately every other week), including campaign infrastructure setup and messaging alignment
Coordinate with founders on client-specific messaging, target audiences, and campaign parameters
Proactively reach out to clients when campaigns show low response rates or unusual patterns
Maintain ongoing, light communication with clients via email and group chats for logistical updates and troubleshooting
Automation Development & Workflow Optimization
Identify inefficiencies in current processes and propose or implement lightweight improvements without waiting for instruction
Experiment with new lead sources, outreach angles, and automation approaches
Stay current on emerging AI tools and features and assess fit for the company's operations
Build and maintain lightweight automations using N8N, Zapier, Make, Claude Code, or similar platforms to reduce repetitive work
Flag problems early and bring proposed solutions to leadership before escalation is needed
Requirements
Must-Have
Proven hands-on experience building automations or workflows using at least one of: N8N, Zapier, Make, or Lindy—you've built functional workflows, not just dabbled with the tools




Working proficiency with AI coding tools such as Claude Code, Codex, Cursor, or similar, with evidence of building lightweight scripts, workflows, or automations
Demonstrated engagement with emerging AI tools—you actively experiment with new platforms, follow AI tool releases, and can name tools you've learned in the past 90 days
1–3 years of hands-on experience in outbound sales operations, lead generation, B2B prospecting, or cold email campaign coordination
Professional written English at B2+ CEFR level minimum; all client interaction is email-based and written communication must require no editorial review
Proven track record of independently identifying operational problems and building or proposing solutions without being told what to fix (examples required)
Prior experience working in early-stage startups or fast-growth companies (5–100 employees) where you adapted to evolving priorities and wore multiple hats

Nice-to-Have
Hands-on experience with cold email platforms such as Instantly, Smartlead, Lemlist, Apollo, or similar outbound tools
Familiarity with lead enrichment and data platforms including Clay, Deepline, ZoomInfo, Apollo, or comparable B2B databases
Background in B2B SaaS operations, digital marketing agencies, or early-stage startup environments
Experience managing, reviewing, or quality-assessing AI bot or agent outputs in production environments
Understanding of email deliverability fundamentals including domain warm-up, sender reputation, bounce management, and inbox health monitoring
