Overview:

As the Procure to Pay Specialist at Canela Media, you will play an important role in ensuring daily activities for the Procure to Pay processes for US and non-US jurisdictions using different platforms to pay. This role requires an organized way of working, detail orientation with a strong attitude of service, problem solving, and the ability to build relationships and collaborate with other functional areas. This role provides critical support for ensuring timely execution and tracking of Procure to Pay activities guaranteeing proper commitments recognition when processing invoices and providing visibility on cash flow needs for the company.

Responsibilities

Financial Management:

· Responsible for standardization of Procure to Pay process considering the different systems to pay vendors and T&E; (employee expense reimbursements) using NetSuite, Bill.com, RAMP, Oyster, and similar

Processing, Reporting and Analysis:

· Ensure timely and accurate payment execution to vendors and employees’ reimbursements

· Provide ongoing vendor relationship support (such as: invoicing submission, payment status)

· Ensure timely and accurate processing of invoices

· Coordination with vendors and internal teams to resolve any discrepancies. Prepare vendors reconciliation when required

· Accurate account coding of invoices for posting in financial statements





· Responsible for deferral and accrual identification and posting as part of the month end closing process

· Responsible for monthly trend analysis to ensure the right recognition of goods and/or services committed by the company

· Responsible for payment proposal preparation

· Reconciliation of Accounts Payable and Accrued Expense accounts

· Support on payments projections for the cash flow forecasts

Compliance and Risk Management: Ensure compliance with local and international financial regulations, tax laws, and corporate reporting requirements

· Responsible for full compliance with electronic accounting requirements as indicated by local tax authorities

· Responsible for collection and review of IRS W-8 and W-9 forms and support of Form 1099 issuance

Cross-Border Collaboration: Work closely with the finance and non-finance teams to facilitate full compliance of internal controls related to the Procure To Pay process

· Effective and proactive interaction with the Financial Planning & Analysis department to ensure consistent goods and services timely recognition as per commitments with vendors and facilitate variance analyses

· Collaborate closely with vendors as well as internal budget owners to ensure timely execution of all the steps into the Procure to Pay process

Audit Management: Support external audits requests

· Ensure timely completion of statutory audits

· Ensure timely and accurate submission of information to auditors and address timely audit findings

Qualifications:

· Active Mexican Contador Público Certificado (CPC) credential (Only relevant if candidate is from MX)

· Bachelor’s degree in accounting or related field

· 5+ years’ proven experience as experience of working in a procurement or accounts payable team

· Good understanding of US GAAP, Mexican accounting principles and fiscal/electronic accounting regulations

· Well organized with good problem-solving skills

· Excellent customer service skills

· Excellent command of English – both verbal and written

· System Proficiency in Oracle NetSuite, Bill.com, Oyster, RAMP T&E; preferred

· Technical proficiency in Excel
