We are looking for an analytical, tech-savvy Process Automation Specialist who can evaluate how each department of the company operates and identify where processes can become faster, simpler, and more efficient through the use of AI. With hands-on experience in Microsoft Copilot, you will design and implement practical AI-powered solutions that complement the team's work, reduce manual tasks, and improve productivity across the organization. This is a full-time, remote position, Monday through Friday, from 9:00 AM to 6:00 PM PST, with the potential for a long-term relationship with a growing company.

What You'll Be Doing

- Analyze workflows across every department (Operations, HR, Finance, Sales, Marketing, and Client Success) to understand how work gets done today
- Map current processes, document pain points, bottlenecks, and repetitive manual tasks, and identify automation opportunities
- Prioritize improvement opportunities based on impact, effort, and business value, and present clear recommendations to leadership
- Design and implement AI-assisted solutions using Microsoft Copilot across Microsoft 365 (Word, Excel, Outlook, Teams, PowerPoint, and SharePoint)
- Build automated workflows with Power Automate and Copilot Studio, including custom agents, prompts, and templates for recurring tasks
- Standardize processes and create SOPs, playbooks, and prompt libraries that each department can easily adopt
- Train and support team members on the effective and responsible use of Copilot and other AI tools, as a complement to their work rather than a replacement
- Measure results by tracking KPIs such as time saved, error reduction, and turnaround times,



and report on the impact of each initiative
- Continuously monitor, maintain, and refine implemented automations to keep them accurate and useful
- Ensure AI solutions follow data privacy, security, and confidentiality best practices
- Stay current on new Copilot features and AI tools, and recommend relevant innovations for the business

Qualifications

- Proven hands-on experience with Microsoft Copilot and the Microsoft 365 ecosystem
- Experience with Power Automate, Copilot Studio, or similar automation platforms (Zapier, Make)
- 5+ years of experience in process improvement, business analysis, operations, or automation roles
- Strong ability to analyze, map, and document business processes (e.g., flowcharts, process maps)
- Advanced Excel skills; familiarity with Power BI or other data visualization tools is a plus
- Knowledge of Lean, Six Sigma, or other continuous improvement methodologies is a plus
- Understanding of prompt engineering and responsible AI practices
- Advanced English, with strong written and verbal communication skills
- Ability to explain technical concepts clearly to non-technical team members
- Self-motivated, organized, and comfortable managing multiple projects across departments
