About the Role US Job Finders is seeking a technically strong, project-minded Business Systems & AI Automation Specialist to join a fast-growing U.S.-based recruitment and RPO firm. The company runs on Claude, and it needs one person to own its technology stack and use Claude to keep improving it.
This role has two equally important parts. First, you will own and maintain the company's existing systems. That includes its applicant tracking systems (ATS), training platform, IT partner relationships, and Pipedrive CRM and sales systems. You will make sure these tools work together, fix problems when things break, and look for ways to improve them. Second, you will design and build AI tools and automations with Claude (Claude, Claude Code, and Claude agents) that remove manual work across the team. One example: pulling information from company mailboxes into QuickBooks to produce financial reporting without the controller building it by hand.
This is not a "wait for a ticket" IT role. The adecuado candidate thinks like a project manager and consultant. You will sit down with recruiters, salespeople and leadership, ask how they do their day-to-day work, and keep asking questions until you find the real problem. Then you will turn it into a tool that makes their jobs easier. Strong communication with U.S.-based teammates is essential, because the answers are rarely black and white.
This role reports directly to the CEO and has a real hand in shaping how the company operates in the future.
Reports To and Team • Reports to: CEO
• Partners with: Recruiters, recruitment leadership, the sales team, the controller/finance function, company leadership, and outside IT and software partners
Key Responsibilities Systems Administration & Tech Stack Ownership
• Own the administration and day-to-day health of the company's technology stack
• Manage and maintain the company's ATS platforms: users, permissions, workflows, pipelines, fields and data quality
• Administer Pipedrive CRM and sales systems: pipelines, automations, reporting and user support
• Manage the company's training platform and training content, keeping materials organized, accessible and up to date
• Serve as the main point of contact for IT partners and software vendors, coordinating support, renewals, onboarding and issue resolution
• Troubleshoot and fix system issues quickly when things go wrong
• Keep systems documented so processes, configurations and access are clear and transferable
Systems Integration & Process Improvement
• Make the company's tools work together as one connected system rather than separate platforms




• Find broken handoffs, duplicate data entry and manual workarounds across teams
• Recommend and implement improvements to workflows, integrations and tool configurations
• Evaluate new tools and platforms and recommend what to add, replace or retire
Claude AI Tools & Automation
• Design, build and deploy AI-powered tools and automations using Claude, Claude Code and Claude agents
• Build workflows that pull, organize and act on information from company mailboxes, systems and documents
• Automate reporting, including connecting company data to QuickBooks to produce financial and operational reports without manual work from the controller
• Build Claude-based tools that help recruiters, sales and leadership work faster and more accurately
• Test, refine and maintain AI tools after launch so they stay reliable and useful
• Train team members on new tools and encourage adoption across the company
Project Management & Internal Consulting
• Run technology and automation initiatives as structured projects, with clear scope, timelines and owners
• Interview team members about how they do their work, then map processes and spot automation opportunities
• Keep asking questions until you understand the real need, even when team members can't fully explain it themselves
• Prioritize requests and projects based on business impact
• Communicate project status, results and recommendations clearly to leadership

Required Skills & Qualifications • Proven experience administering business systems such as ATS, CRM and other SaaS platforms
• Hands-on experience designing and building AI tools and automations with Claude (Claude, Claude Code and/or Claude agents)
• Experience integrating systems and automating workflows between platforms (APIs, webhooks, integration tools)
• A strong project management mindset: able to scope, plan, prioritize and deliver multiple initiatives
• Excellent communication skills,



including drawing information out of non-technical team members and turning it into clear requirements
• Fluent English and prior experience working with U.S.-based companies and teams
• Able to work during U.S. Eastern Time business hours
• Strong troubleshooting and problem-solving skills
• Self-directed, with a sense of ownership and the ability to work independently in a remote environment
• Able to explain technical concepts in simple, practical terms
Nice to Have • Experience with Pipedrive administration and automation
• Experience with ATS platforms in a recruiting, staffing or RPO environment
• Experience connecting data or automating reporting with QuickBooks
• Experience building automations for email and mailbox workflows
• Experience managing training or learning management platforms
• Experience with integration and automation platforms such as Zapier, Make or n8n
• Scripting or development experience (e.g., Python, JavaScript)
• Previous experience in a systems, automation or AI implementation role for a small or mid-sized business

• By 90 days: Deliver a prioritized technology and automation roadmap, with several automations live and in use by the team
Working Hours Full-Time – U.S. Eastern Time business hours
