Overview:
Our client is looking for a Senior Bilingual Tax Executive Assistant (U.S. Tax & CPA Firm) to provide high-level executive support while coordinating tax workflows, deadlines, client communications, and administrative operations within a U.S. tax or CPA firm. The adecuado candidate has strong knowledge of U.S. tax documents and processes, exceptional organizational skills, and the ability to independently manage sensitive information, shifting priorities, and multiple deadlines. Bilingual English and Spanish communication skills, along with experience using tools such as TaxDome, Drake Tax, QuickBooks Online, or similar platforms, will be highly valued.
Schedule:
- 10:00 AM - 7:00 PM EST, with a 1-hour unpaid break
- Additional Note: Maintain flexibility during tax season, when schedules, deadlines, and client demands increase
Responsibilities:
- Executive & Calendar Support: Manage the CEOs daily schedule, align personal/professional priorities, resolve conflicts, confirm appointments, and ensure all prep materials are ready
- Workflow & Deadline Management: Track tax deadlines, extensions, follow-ups, and outstanding client requests. Coordinate communications across clients, tax preparers, and administrative staff
- Tax Document Administration: Organize and recognize standard forms (W-2, 1099, K*S, 1065) and supporting financial records through the tax preparation workflow
- Communication & Operations: Prepare correspondence, meeting notes, and task lists. Maintain detailed client notes, hold team members accountable, and proactively address emerging issues
- Executive Projects & Confidentiality:
Protect sensitive client, tax, and company data while assisting with special projects and inbox/workload management
Requirements:
- Tax & Executive Experience: Prior experience in a U.S. tax, CPA, accounting, or financial firm supporting an executive or business owner
- Domain Knowledge: Strong grasp of U.S. tax documents, terminology, filing deadlines, and tax office workflows
- Core Competencies: Exceptional detail orientation, calendar management, follow-up, problem-solving, and professional judgment
- Execution: Proven ability to work independently, manage shifting priorities, hold others accountable, and maintain strict confidentiality
- Technical Proficiency: Microsoft Office Suite (Outlook, Teams, Word, Excel), general office technology, and practice management/client portal software
Preferred Qualifications:
- Experience with TaxDome (or similar practice management tool) and Drake Tax (or similar tax software)
- Familiarity with QuickBooks Online
- Bilingual in English and Spanish
