Overview Our client is a small, fast-moving legal-tech startup transforming estate planning for attorneys. Their platform streamlines client information intake, automating manual work and giving law firms a smoother, more collaborative way to serve their clients.
Your Role This is a wide-ranging Executive Assistant seat supporting the CEO across both business and personal logistics. The company needs someone who anticipates what's coming, juggles competing priorities without dropping the ball, and takes things off the CEO's plate before they become urgent — not after. The CEO wants a thinking partner, not just a task-taker: someone who sees an email and drafts the reply (with 2-3 options and a recommendation) rather than asking how to respond.
You’ll: Own the CEO's inbox — triage, prioritize, draft responses, and make sure what matters gets answered on time; clear out the rest so it's not taking up headspace
Run the calendar with sharp attention to time zones — schedule meetings, resolve conflicts, and keep it moving without constant check-ins
Handle all travel end-to-end — flights, hotels, cars, points/rewards optimization, and fast rebooking when plans change
Own conference prep and logistics start to finish — coordination with organizers, booth/furniture rentals, shipping and materials, and flights/hotels for the CEO and travel companions (roughly 10-12 conferences a year, clustered Sept-Oct and early in the year)
Handle outbound logistics calls — vendors, hotels, airlines, conference organizers (not client-facing calls with the company's law firm customers)
Act as the liaison between the CEO and internal/external stakeholders (vendors, partners, the household manager for in-person needs), keeping communication timely, professional, and diplomatic
Take on business admin (purchasing, record-keeping)
and personal/household logistics (scheduling car service, appointments, coordinating with the household manager) so both sides of the CEO's life stay covered
Spot repetitive work and help automate or systematize it rather than just repeating it each time
Step into special projects and research as they come up — using AI tools to investigate and come back with findings and a recommendation, not just questions
Handle confidential information with airtight discretion
You Bring: Proven experience as an Executive Assistant, or strong related experience paired with sharp tech-savviness — skills and adaptability matter more than years in the EA title specifically
Real travel-planning chops — comfortable with airlines, hotels, points/rewards programs, and complex itineraries
Sharp organizational and time-management skills with genuine attention to detail (time zone accuracy is non-negotiable)
A proactive, versátil mindset — you spot what's needed, propose a solution, and handle it before it's urgent, rather than just categorizing or flagging it
Comfort using AI tools to research and solve new problems independently
Strong written and verbal communication, with a diplomatic, professional tone for external-facing interactions
Comfort with modern productivity and project management tools (Google Workspace and similar)
