Position Summary
We are seeking an experienced Executive Assistant to provide high-level administrative support to senior leadership within a global and highly matrixed organization. This position requires exceptional organizational skills, the ability to manage complex calendars across multiple time zones, coordinate domestic and international travel arrangements, and interact effectively with stakeholders located in different countries and regions.
The ideal candidate will have previous experience supporting executive-level leaders, preferably within a multinational manufacturing or corporate environment, and demonstrate strong communication skills, professionalism, discretion, and a customer-focused mindset.
Key Responsibilities
- Provide direct administrative support to senior executives and leadership teams.
- Manage complex calendars, scheduling meetings across multiple time zones, primarily within the United States and global locations.
- Coordinate and organize virtual and in-person meetings with cross-functional and international teams.
- Arrange domestic and international travel, including flights, accommodations, transportation, visas, and itineraries.
- Prepare and process travel expense reports and reimbursement requests in compliance with company policies.
- Maintain executive schedules, prioritize appointments, and resolve calendar conflicts.
- Coordinate leadership visits, business reviews, team meetings, and special events.
- Serve as a key point of contact between executives and internal/external stakeholders.
- Support presentation preparation, meeting logistics, and follow-up actions.
- Handle confidential and sensitive information with a high level of professionalism and discretion.
- Proactively anticipate executive needs and identify opportunities to improve administrative processes.
Required Qualifications
- Bachelor's Degree preferred.
- At least 2 years of experience as an Executive Assistant or Executive Administrative Assistant supporting senior leadership.
- Proven experience managing executive calendars, travel arrangements, and expense reporting.
- Experience working with global teams and stakeholders from different countries and cultures.
- Advanced English proficiency (spoken and written).
- Strong knowledge of Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams).
- Ability to work versátil hours when required to support executives and teams located across different US time zones.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
Preferred Qualifications
- Experience in multinational manufacturing companies, matrix organizations, or corporate environments.
- Experience supporting directors, vice presidents, or executive-level leaders.
- Familiarity with expense management and travel booking systems (Concur or similar).
- Experience coordinating meetings and events for international audiences.
Additional Requirements
- Hybrid work model based in Tlalnepantla, Estado de México.
- Valid US Visa is mandatory.
- Availability to occasionally adjust working hours to support meetings and business activities across multiple US time zones.
