The coordinator – Recruitment Administration delivers essential operational and administrative support across the talent acquisition lifecycle. This role ensures a seamless hiring process by managing interview schedules, drafting offer documentation, maintaining ATS data accuracy, and delivering a high-touch experience for candidates, recruiters, and hiring managers.
Key Accountabilities
What you’ll do:
Coordinate and schedule multi-stage phone,



virtual, and on-site interviews for candidate pools across multiple hiring manager calendars and time zones.
Prepare, review, and issue standardized employment offer letters, contract agreements, and pre-boarding documentation with high accuracy.
Maintain and audit data within the Applicant Tracking System (ATS), updating candidate statuses, logging interview feedback, and generating recruitment pipeline reports.
Initiate and track pre-employment background checks, reference verifications, and credential audits, flagging delays or issues to recruitment leaders.
Serve as a primary point of contact for candidate inquiries regarding scheduling, interview logistics, expense reimbursements, and onboarding preparation.
Collaborate closely with HR operations, IT, and facilities teams to ensure new hires receive credentials, equipment, and access badges prior to their start date.
