HR Coordinator

Overview The HR Coordinator keeps interviews on the calendar and the hiring pipeline moving. This role reports to the Director of Talent and works closely with hiring managers and their teams across the interview lifecycle, from scheduling first-round calls to coordinating offer paperwork.

Key Responsibilities

Scheduling

- Coordinate interview scheduling across candidates, hiring managers, and panel members, including multi-stage and panel interviews
- Manage calendar logistics for phone screens, virtual interviews, and onsite visits
- Send timely calendar invites, confirmations, and reminders to candidates and interviewers
- Track and resolve scheduling conflicts, reschedules, and last-minute changes
- Coordinate travel and logistics for onsite candidates when needed

Recruiting Support

- Post job openings and maintain accurate job listings across career sites and job boards
- Screen and organize incoming applications in the applicant tracking system (ATS)
- Support candidate communication,



including status updates and interview details
- Assist with reference checks and background check coordination
- Help prepare offer letters and new hire paperwork
- Maintain accurate and up-to-date candidate records in the ATS
- Support recruiting metrics reporting (time-to-fill, pipeline stage counts, etc.)

Qualifications

- 1-3 years of experience in HR, recruiting coordination, or a related administrative role
- Strong organizational skills and comfort managing multiple calendars and priorities at once
- Clear, professional written and verbal communication
- Experience with an applicant tracking system (e.g., Greenhouse, Lever, Ashby) or willingness to learn one quickly
- Comfort with calendar tools (Google Calendar) and scheduling software
- High attention to detail and follow-through
- Ability to handle sensitive candidate and employee information with discretion
