About the Organization A growing, clinician-led, home- and community-based Applied Behavior Analysis (ABA) provider serving children and families. Services are funded through commercial insurance and public/regional funding programs.

The Role

This is the organization’s go-to technology and systems role, with responsibility for supporting medical billing operations and revenue-cycle workflows.

The systems are already built out, so the work is less about standing everything up from scratch and more about owning and improving the existing environment: keeping Salesforce and the practice-management platform configured effectively, supporting medical billing workflows, maintaining Google Workspace, cloud communications, clinical-data tools, and HR/payroll technology, resolving day-to-day technology issues, and finding ways to make the full technology stack work better for a growing healthcare team.

This person will act as the de facto IT and Salesforce lead while also supporting the systems and processes that connect clinical operations to billing. The adecuado candidate understands how technology, documentation, authorizations, claims, payments, and operational data work together in a healthcare environment.

The non-negotiable requirement is real, hands-on Salesforce administration experience. The organization needs someone who understands objects, fields, customization, permissions, reporting, dashboards, and automation well enough to shape the system—not simply use it.

What You’ll DoSALESFORCE & SYSTEMS ADMINISTRATION

- Administer the Salesforce-based practice-management environment end to end, including users, profiles, permission sets, objects and fields, page layouts, validation rules, flows and automation, reports, and dashboards.
- Configure and maintain Salesforce workflows that support clinical operations, billing, authorizations, and reporting.
- Own Google Workspace administration, including accounts, groups and shared inboxes, Drive structure and sharing, security settings, and device policies.
- Manage cloud communications, clinical-data tools, platform integrations, and the technical side of HR/payroll systems.
- Coordinate with vendor support teams on tickets, integrations, and change requests.

MEDICAL BILLING & REVENUE CYCLE SUPPORT
- Support day-to-day medical billing and revenue-cycle workflows, including claims submission, payment posting, denials, rejected claims, and billing follow-up.




- Review billing information for accuracy and identify missing or inconsistent documentation that may delay reimbursement.
- Assist with insurance eligibility, authorizations, payer requirements, and billing-related data as needed.
- Track outstanding claims, denials, and billing issues and follow through until they are resolved or appropriately escalated.
- Work with clinical and administrative teams to ensure services, authorizations, documentation, and billing data align.
- Use Salesforce, the practice-management system, and reporting tools to monitor billing activity and identify trends or process gaps.
- Help improve billing workflows through better system configuration, reporting, automation, and documentation.
- Coordinate with payers, billing partners, and internal stakeholders when billing or system issues require follow-up.

SUPPORT & TROUBLESHOOTING
- Serve as the first stop for staff technology questions. Triage quickly, resolve what can be resolved internally, escalate when needed, and follow through until issues are closed.
- Identify recurring technology issues and address the root cause rather than only the symptom.
- Create clear documentation, including tool guides, troubleshooting steps, billing workflows, and step-by-step SOPs that a new hire can follow without repeated assistance.

IMPROVEMENT, SECURITY & AI
- Learn the technology stack deeply and identify ways to get more value from existing tools, streamline processes, and retire anything that is not earning its keep.
- Identify opportunities to improve billing accuracy and operational efficiency through Salesforce configuration, automation, and reporting.
- Support sound security hygiene, including access reviews, MFA, offboarding checklists, data-handling practices, and HIPAA-aware configuration across systems.
- Explore practical ways to use modern AI and automation tools to support healthcare technology and administrative operations.

TECHNOLOGY TRAINING & ENABLEMENT
- Run the technology portion of new-hire orientation, including tool setup, access provisioning, and guided training on the organization’s core platforms.




- Assess how well new hires understand the tools, score results, and use those insights to improve future training.
- Provide refreshers and quick guides as features and processes change.

What We’re Looking ForMUST HAVE
- 3+ years of hands-on Salesforce administration experience, including configuration, custom objects and fields, users and permissions, automation, reports, and dashboards.
- Medical billing or healthcare revenue-cycle experience, including familiarity with claims, denials, insurance/payer requirements, and billing follow-up.
- Solid Google Workspace administration experience.
- Customer or technical support experience in a help desk, call center, or similar setting.
- Strong troubleshooting instincts across web applications, accounts and permissions, devices, and integrations.
- Excellent written documentation skills and the ability to translate technical or billing processes into clear instructions.
- Independent and self-directed; comfortable owning a problem from first report through resolution.
- Curious about technology and interested in learning new tools, automation, and AI.
- Availability during Pacific Time business hours.

NICE TO HAVE
- Experience with medical billing in ABA, behavioral health, therapy, or another insurance-funded healthcare environment.
- Understanding of CPT codes, authorizations, eligibility, claims processing, denials, and payer portals.
- Experience with Salesforce-based practice-management or EHR platforms.
- Working knowledge of HIPAA and healthcare data privacy.
- Experience administering cloud communications, clinical-data platforms, or HR/payroll systems.
- Experience building training materials or running onboarding and enablement sessions.
- Familiarity with security practices in a small-business healthcare setting.
- Exposure to automation tools, scripting, or AI-assisted workflows.
