Our people find purpose and do what they love in an inclusive, collaborative, agile, and rewarding environment.About This PositionWe are looking for an organized, persuasive and adaptable administrative and communications consultant to join the Regional and Sectoral Data Group within our Research Department.The Regional and Sectoral Data Group (RSD) coordinates and supports the efficient management and governance of regional and sectoral data generated or obtained through research, knowledge, and operational work that is not produced in the Bank's systems nor owned by the Bank but falls under the responsibility and/or custody of the IDB.
This includes both traditional (censuses, surveys, administrative records) and non-traditional (social networks, digital footprints, satellite imagery, etc.) data sources extensively used across various departments.To support the group's operational and strategic activities, we are looking for an Administrative & Communications Consultant to facilitate contract management, resource planning, stakeholder coordination, and internal communication.The consultant will be responsible for processing and managing contracts, coordinating with other departments, overseeing Memoranda of Understanding (MOUs), tracking resources and training programs, and ensuring smooth access to essential resources.
Additionally, the consultant will support communication efforts to ensure effective information dissemination across the group and its stakeholders.What you'll doProcess and manage contracts, agreements, and MOUs related to IT services, external partnerships, and data governance initiatives ensuring compliance with institutional policiesMonitor contract deliverables and timelines,
ensuring adherence to agreed-upon termsMap processes with different departments and units involvedWork with IT teams to facilitate system access, software licensing, and resource allocation for RSD membersOversee the provisioning of technical resources such as laptops, software, and cloud storage solutionsSupport internal and external communications, ensuring effective dissemination of key informationDevelop and maintain internal communication channels, ensuring timely dissemination of key informationDraft and distribute newsletters, reports, and updates on RSD activities and initiativesSupport the preparation of presentations, briefing materials, and meeting documentationFacilitate collaboration between RSD and external stakeholders by managing communication protocolsWhat you'll needEducation: Bachelor's degree in Business Administration, Communications, Public Administration, or a related field.Experience: At least 4 years of experience in administration, resource planning, contract management, or communications.Languages: Fluent in English and Spanish; additional knowledge ofPortuguese and/or French is a plus.SkillsExperience with contract processing, MOU negotiations, and procurement managementFamiliarity with institutional IT coordination, access management, and stakeholder engagementExperience with process mapping and optimizationProficiency in Microsoft Office and contract tracking systemsExcellent organizational and multitasking abilitiesStrong verbal and written communication skillsAbility to coordinate across departments and manage multiple stakeholdersProactive, detail-oriented, and able to work in fast-paced environmentsRequirementsCitizenship: You are a citizen of one of our 48-member countries.
