About the Role
We are looking for an organized, detail-oriented, and proactive Recruiting Coordinator to join our Talent Acquisition team. In this role, you will be the backbone of our hiring process, ensuring a seamless candidate experience and supporting our hiring managers and interviewers.
You will work directly alongside our Talent Advisor , taking ownership of interview scheduling, logistics, and partner in sourcing top talent for key open roles.
Key Responsibilities
Interview Logistics & Coordination
- Calendar Management: Coordinate and schedule complex multi-stage interviews (phone screen, technical assessments, panel interviews, and executive loops) using tools like Google Calendar / Outlook and Microsoft Teams / Zoom.
- Candidate Experience: Act as the primary point of contact for candidates throughout the interview lifecycle, delivering prompt, warm, and professional communication.
- Interview Prep: Send interview confirmations, calendar invites, preparation materials, and logistical details to candidates and interview panels.
- Troubleshooting: Proactively manage last-minute schedule changes, reschedules, and unexpected delays with agility and grace.
Talent Advisor Collaboration & Sourcing Support
- Sourcing Support:
Work directly with the Talent Advisor to build candidate pipelines by proactively sourcing passive candidates on LinkedIn Recruiter and other talent platforms.
- Applicant Screening: Assist in reviewing incoming resumes and applications against job requirements to flag strong potential matches.
- Pipeline Management: Maintain accurate and up-to-date candidate data within our Applicant Tracking System (ATS).
Operations & Team Support
- Ensure candidate feedback is collected promptly from hiring teams after interviews.
- Assist with ad-hoc talent acquisition projects, job postings, and employer branding initiatives.
- Help optimize and document recruiting workflows and scheduling processes.
Qualifications & Skills
- Experience: 1–2 years of experience in a Recruiting Coordinator, HR Assistant, or Administrative/Scheduling role (agency or in-house experience preferred).
- Direct Experience: Familiarity with interview scheduling, candidate communications, and basic sourcing techniques.
- Tech-Savvy: Experience working with Applicant Tracking Systems (ATS) like Greenhouse, Lever, Workday, or similar, as well as tools like LinkedIn Recruiter .
- Communication: Exceptional written and verbal communication skills in English with a candidate-first mindset.
- Organization & Detail: Outstanding time management, organizational skills, and strict attention to detail in a fast-paced environment.
- Problem Solving: Ability to multitask, prioritize under pressure, and quickly pivot when schedules change.
