About the Role The Health & Safety Coordinator will join World Strides' Health & Safety Team in a key role supporting the safety, well-being, and successful experience of travelers participating in our K12 programs. This position offers the opportunity to work across a broad range of Health & Safety initiatives, from incident and crisis response to accessibility coordination, insurance, traveler preparation, risk communications, data reporting, and resource development. You'll collaborate closely with teams across World Strides, including Operations, Account Management, Product Delivery, Legal, Corporate Social Responsibility, and World Assist, helping ensure our teams have the information, resources, and support they need to respond effectively to health, safety, and security matters. The ideal candidate is highly organized, analytical, resourceful, and service-oriented, with the ability to remain calm and exercise sound judgment when handling sensitive or time-critical situations. This role is well suited for someone who enjoys working across teams, researching complex topics, improving processes, and turning information into clear, actionable resources.
What You’ll Do Support K12 Health & Safety Communications: Partner with the Health & Safety Team to coordinate and respond to inquiries from team members regarding health, safety, and security policies, protocols, resources, and best practices. Support Emergency Communications: Partner with the General Risk Analyst to prepare Talking Points, Advisory Memos, and other communications and resources in response to global events that may affect program destinations or activities. Coordinate Emergency Preparedness Resources: Manage the annual update of emergency planning resources and Crisis Response Team lists. Support training initiatives and help ensure teams across the organization understand their roles and responsibilities during a crisis. Support Incident Management: Coordinate with World Assist and provide support related to on-program incidents affecting K12 group programs. Conduct ongoing reviews of cases recorded in Service Cloud and support Health & Safety Leadership with the accurate collection, analysis, and reporting of incident data. Support On-Program Crisis Response: Assist Health & Safety Leadership with implementing established incident response plans and coordinating resources during on-program crises. Coordinate Accessibility Initiatives: Build and maintain knowledge of accessibility practices and trends within educational travel. Participate in the accessibility working group and collaborate with Health & Safety, Product Delivery,
Product Management, Account Management, and Corporate Social Responsibility to track accommodation requests and improve response processes. Research Accessibility & Support Clients: Research the accessibility of program sites, attractions, and other destinations as needed. Support Account Management in reviewing accessibility requests with clients, identifying available options, and helping set appropriate expectations. Support Insurance Processes: Partner with Legal to review K12 on-program incidents that may result in insurance claims. Develop a strong understanding of World Strides' program insurance policies and support Legal and Health & Safety Leadership with related training initiatives across divisions. Maintain and regularly review the enterprise-wide insurance overview. Coordinate Vendor & Accounting Processes: Review and track invoices from third-party providers, including AXA Behavioral Health and George Washington Medical Faculty Associates, verify accuracy, and coordinate timely submission to Accounts Payable. Support Traveler Safety & Preparation: Contribute to travel safety initiatives and traveler education by helping develop, maintain, and improve Travel Smart, Travel Safe resources, pre-departure materials, Codes of Conduct, and other safety communications. Maintain Traveler Tracking: Oversee and maintain traveler information across various tracking platforms, ensuring information remains accurate, current, and accessible to the appropriate teams.
