About Bijou Getaways

Bijou Getaways is a curated luxury short-term rental company with properties across six markets, including our East Coast region. We are owner-operators: these are our properties, managed to the same standard we'd apply to our own home.

Our team is fully remote and built around one principle: own the outcome, don't wait for instructions.

The Role

This is not primarily a guest-communication role. It is an operations and vendor-management role first, with guest communication as part of the job — not the center of it. You will own the day-to-day operational health of our East Coast property: contractors, maintenance, HOA compliance, budgets, and systems discipline. Guest messaging is largely automated; you step in for the moments that require judgment — an upsell, an escalation, a real problem.

The single most important thing we're hiring for is this: when something breaks, how fast do you move, what do you verify before you pay, how do you document it, and how do you stay calm and specific with a contractor who's trying to overcharge you or stonewall you.

If you read that and think "I know exactly how I'd handle that, and I'd already have it written down somewhere" — this role is for you. If you're drawn to this role primarily because you like talking to guests — it isn't.

What Success Looks Like in Year 1

1. Zero unresolved maintenance or safety items older than 72 hours — tracked, documented, and closed in Monday.com without reminders. Safety-critical items (pest, structural, electrical) do not sit, ever.
2. Every contractor invoice verified and documented before payment — camera timestamps, photo evidence, and a paper trail logged in Monday.com, not held in your head or a text thread.
3. Zero HOA or compliance violations — governing documents read and understood, violations resolved proactively and documented as they're resolved.
4. Guest rating ≥4.85, sustained — as a result of operational excellence, not hand-holding guests through chat.
5. A weekly operational scorecard, accurate and on time, every week, without being asked twice.

What You Will Own Contractor & Vendor Management — the core of this role

- Own the full vendor relationship lifecycle: sourcing, pricing negotiation, scheduling, verification, payment




- Get a firm price or hourly estimate before any job starts — never an open-ended "let us know what it costs"
- Verify every invoice against camera footage, timestamps, and photo evidence before approving payment — if a contractor claims 12 hours and the footage shows 2, you catch it fast and hold your ground, calmly and specifically, without escalating unnecessarily or freezing under pushback
- Handle difficult, evasive, or pushy contractors directly — the ones who get emotional, threaten to badmouth you, or claim they've been shortchanged when they haven't. You stay factual, unshaken, and polite, and you don't cave to pressure tactics
- Build and maintain a bench of at least 2–3 vetted vendors per trade — never rely on a single point of failure
- Document every negotiation, agreement, and dispute as it happens — not reconstructed from memory after the fact

Maintenance & Property Oversight

- Personally QC every turnover via photo/video review — no exceptions, no relying on the cleaner's word
- Diagnose issues fast, dispatch the right vendor, and verify the work afterward
- Preventive maintenance scheduled and tracked, not reactive
- Nothing sits open past 72 hours without a documented reason logged in the system

HOA & Compliance

- Read and interpret governing documents (CC&Rs;, bylaws) independently — this is not learnable on the job for this role
- Own the HOA relationship: violations, meetings, fee tracking, compliance records — all logged, all current

Systems & Documentation — a non-negotiable strength, not a nice-to-have

- Fluent, hands-on Monday.com usage — you build and maintain board hygiene without being reminded, not just log into a board someone else built
- Every issue, every vendor conversation, every invoice dispute gets written down as it happens — if it's not in Monday.com, it didn't happen
- Weekly operational scorecard delivered accurately and on time, unprompted
- You flag problems before they become visible to leadership — never the reverse

Guest Operations (secondary, not primary)

- Step in for escalations, upsells, and judgment calls that automation can't handle
- Fast, accurate, specific communication — no vague reassurances, no promises you can't verify

Speed &

• Problem-Solving

- A documented pattern of moving fast when something breaks — not "I got to it eventually," but a specific story with a timeline: something went wrong,



and within hours (not days) it was diagnosed, a vendor was dispatched, and it was resolved
- Calm, methodical decision-making under pressure — not panic, not freezing, not inconsistent answers under follow-up questions

Contractor &

• Vendor Experience

- Documented experience personally negotiating with, verifying, and managing contractors or vendors — you can describe a specific time you caught an inflated invoice or held a difficult, pushy contractor accountable, with real detail: what happened, what you checked, exactly what you said
- Comfortable holding firm under pressure from an upset or manipulative vendor — without freezing, over-escalating, or caving to intimidation

Documentation &

• Systems Discipline

- Fluent, hands-on Monday.com or equivalent task-tracking system — able to describe specifically what you built and tracked, not just that you "used" it
- A habit of writing things down as they happen, not reconstructing them later — invoices, disputes, vendor promises, everything with a paper trail
- A documented pattern of closing loops without reminders — if we have to ask twice, this isn't the right fit

Honesty &

• Consistency

- Your account of your own experience must hold up under direct, specific follow-up questions, consistently, across multiple conversations — this is tested directly in our interview process

HOA/Compliance

- Genuine experience reading and applying governing documents (CC&Rs;, HOA bylaws) — if you've never done this, please write "no HOA experience," we will not advance applications that claim experience they can't describe specifically

Schedule &

• Setup

- Camera-on for the full shift, five days a week, weekend coverage included
- Time Doctor screen monitoring
- Dedicated, stable internet — not shared, not mobile data

This Role Is Not for You If…

- Your instinct when a contractor pushes back or gets emotional is to pay to avoid conflict, or to escalate immediately rather than verify and hold your ground
- You've never personally caught a vendor overcharging or cutting corners, or you can't describe how you'd verify one
- You keep track of things in your head, in scattered texts, or "I'll remember it" — rather than writing it down as it happens
- You describe yourself as "a people person" more readily than "someone who checks the camera footage and logs it before paying an invoice"
- You get flustered or inconsistent when asked the same question twice, from a different angle
- You need daily structure or reminders to stay on top of open items
- Things move slowly for you — a maintenance issue reported today shouldn't still be "in progress" a week later
